Your Role & Responsibilities

In our Munich office, you will be a central point of contact for daily office life, ensuring that organization, communication, and administration run smoothly together. You will maintain an overview, think proactively, and tackle tasks pragmatically – in a structured, reliable manner and with an eye for detail.

Office Management & Organization

  • You will ensure smooth daily office operations by confidently managing recurring tasks and ensuring that everything is always where it needs to be.
  • Processing incoming and outgoing mail as well as general organizational matters.
  • Point of contact for smaller office-related issues so that the team can concentrate on their work.

Assistance & Coordination

  • Support for management and the operational team in daily business.
  • Coordination of appointments, travel, and hotel bookings, as well as preparation and follow-up of meetings.
  • Communication and coordination with various internal and external stakeholders – respectfully and professionally.

Events & Processes

  • Organizational support for team events and internal activities.
  • Contributing to and improving internal processes – you will identify areas where things could be simpler and get involved.


Your Profile

You are an organizational talent, communicative, and can keep a cool head even when a lot is happening at once.

Must-Haves:

  • Enrolled student (m/f/d) with approximately 20 hours per week and availability on-site in Munich.
  • Structured, independent, and reliable way of working: You finish things without needing to be prompted.
  • Organizational talent: You can keep multiple topics in view simultaneously and set priorities sensibly.
  • You are strong in communication when dealing with different stakeholders – respectful, considerate, clear, written and spoken, in German and English.
  • Proficient in using digital tools (including AI tools like ChatGPT or Gemini).
  • Discretion and reliability when handling sensitive topics.

Nice-to-Haves:

  • First experience in office management or an assistant role, or a comparable field.
  • Interest in HR, onboarding, and people topics, and operations.
  • Experience in organizing events or internal activities.
  • Knowledge of tools like Slack, Notion, Google Workspace, or similar applications.
  • Enjoy questioning internal processes and making them a bit more efficient.
