Job description

Industry & Sector
A fast-growing enterprise AI and technology group building ML-powered SaaS and enterprise solutions. We operate at the intersection of product engineering, research, and business strategy—delivering scalable AI platforms and services for enterprise customers across industries.

Primary Title: Executive Assistant to CEO • Location: India (On-site)

Role Overview
We are hiring a highly organised, proactive Executive Assistant to provide dedicated, day-to-day support to the CEO. This on-site role is ideal for a trusted operator who can manage complex calendars, prepare board- and investor-facing materials, coordinate cross-functional priorities, and protect the CEO’s time so strategic objectives are delivered with speed and precision.

Role & Responsibilities

  • Manage the CEO’s calendar and priorities: schedule and optimise meetings, resolve conflicts, and ensure time for strategic work.
  • Prepare high-quality briefing packs, presentations, and concise meeting notes for board, investor, and leadership meetings.
  • Coordinate domestic and international travel logistics, visas, itineraries, and expense reconciliations.
  • Act as primary liaison between the CEO and internal stakeholders—prioritise requests, route action items, and track follow-ups.
  • Maintain strict confidentiality, handle sensitive information, and exercise sound judgement on behalf of the CEO.
  • Drive operational projects and special initiatives as assigned, ensuring deadlines and deliverables are met across teams.

Skills & Qualifications

Must-Have

  • Proven experience supporting C-level executive(s) in a fast-paced technology environment.
  • Expert calendar and time-management skills with strong prioritisation ability.
  • High proficiency in Microsoft Office 365 and Google Workspace for creating investor/board materials.
  • Experience managing travel, visas, and expense workflows (Concur/Expensify knowledge preferred).
  • Exceptional written communication and presentation skills—able to craft executive summaries and slide decks.
  • Demonstrated discretion and confidentiality when handling sensitive executive matters.

Preferred

  • Prior exposure to enterprise AI, SaaS, or high-growth startups.
  • Familiarity with collaboration and PM tools such as Notion, Asana, or Trello.
  • Experience supporting investor relations, board governance logistics, or fundraising processes.

Benefits & Culture Highlights

  • On-site role with direct exposure to executive leadership and strategic decision-making.
  • Fast-paced, high-impact environment—opportunity to shape processes and scale executive operations.
  • Collaborative culture that values ownership, confidentiality, and professional growth.

To apply, please submit a resume and a concise cover note highlighting two examples where you optimised a CEO’s schedule or delivered high-stakes executive communications. We seek a pragmatic, detail-oriented partner who can translate strategy into execution and elevate the CEO’s effectiveness across the organisation.
