Overview Xchange Auto is based in the USA and is a fast-paced international vehicle wholesale company managing complex transactions across the U.S. and Canada. With over 18 years of experience sourcing new vehicles from the U.S. and Canada and delivering them to customers worldwide. We specialize in high-demand models and manage a complex, fast-moving operation that spans dealer networks, logistics, and international shipping. We are now seeking a highly organized, reliable, and detail-oriented Executive Assistant who will provide administrative support to our senior leadership team. The ideal candidate will be able to work independently, prioritize tasks effectively, and maintain confidentiality in all aspects of their work. Responsibilities: • Provide high-level administrative support to the executive team, including scheduling meetings, preparing materials, and coordinating travel arrangements. • Manage complex calendars, ensuring that all deadlines are met and appointments are kept. • Coordinate and prepare for board meetings, including preparing agendas, taking minutes, and distributing meeting materials. • Develop and maintain spreadsheets, reports, and other documents to track key performance indicators and company metrics. • Assist in the preparation of presentations, reports, and other materials as needed. • Provide exceptional customer service by responding promptly to inquiries and resolving issues efficiently. • Maintain confidentiality and handle sensitive information with discretion. Requirements: • Bachelor's degree in Business Administration, Communications, or a related field. • At least 3 years of experience as an Executive Assistant or in a similar role. • Proven track record of providing exceptional administrative support to senior leaders. • Excellent organizational and time management skills, with the ability to prioritize tasks effectively. • Strong communication and interpersonal skills, with the ability to build strong relationships with colleagues and clients. • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). • Ability to work independently and as part of a team.
