Job description

We’re seeking a world-class Executive Assistant to be the CEO’s primary force multiplier - owning calendar, communications, and coordination so our leadership can move faster with fewer blockers. In this fast-paced role, you’ll turn priorities into action. You’ll manage the CEO’s inbox, calendar, meetings, and travel; capture decisions and follow-ups; and ensure information flows accurately across teams. If you love clarity, speed, and being three steps ahead - while handling sensitive matters with impeccable discretion - this role is for you.

Key Responsibilities

Executive Operating Rhythm

  • Run the CEO’s daily/weekly cadence: surface priorities, flag conflicts, and secure decisions on time.
  • Keep real-time visibility on the CEO’s schedule, meetings, deliverables, and dependencies.
  • Maintain rigorous confidentiality for all sensitive information and records.

Daily Execution

  • Triage and manage the CEO’s inbox; prioritize high-value messages and reduce noise.
  • Prepare and format memos, emails, presentations, and reports; draft confidential correspondence with care.
  • Join key CEO meetings to capture crisp notes, owners, and deadlines; drive follow-through to done.
  • Coordinate personal/professional appointments and ensure the day runs smoothly.
  • Maintain an organized digital workspace and uphold professional standards at all times.

Weekly / Monthly / Quarterly Cadence

  • Weekly: review upcoming deliverables, reconcile calendar vs. priorities, and confirm logistics for all commitments.
  • Monthly: organize event/webinar logistics; conduct targeted research to support projects and briefings.
  • Quarterly: coordinate schedules and materials for leadership goals, webinars, and CEO initiatives.
  • Semiannual: support performance review logistics and leadership sessions.

Information Stewardship & Communication

  • Ensure timely, accurate flow of information to/from the CEO and stakeholders (internal & external).
  • Protect data integrity across calendars, files, meeting notes, and task trackers.
  • Serve as a trusted point of contact for executives, employees, clients, and partners.

Travel & Event Logistics

  • Own end-to-end travel (air, hotel, ground) and meeting logistics; anticipate contingencies.
  • Confirm agendas, materials, and success criteria for all engagements; de-risk surprises.

Culture & Ways of Working

  • Model ownership, integrity, and solution-orientation; contribute constructive feedback with proposed fixes.
  • Capture learnings in our “ EA Playbook” and help the team avoid repeat mistakes.
  • Be a team player who elevates outcomes over ego.

Requirements

Experience & Scope

  • Proven experience supporting a senior executive (agency/marketing/tech environment a plus).
  • Demonstrated success juggling multiple priorities, managing up, and driving closure without drama.
  • Fluent in handling confidential matters and challenging personalities with professionalism.

Operating Systems & Tools

  • Outlook/Email, Calendar, Microsoft Teams - advanced proficiency.
  • ClickUp (or similar work management) - working proficiency.
  • Strong general tech aptitude; quick to learn new tools.

Leadership & Communication

  • Exceptional written and verbal communication; sharp judgment and attention to detail.
  • Time-management ninja with reliable follow-through and proactive problem-solving.
  • High EQ, adaptability, and poise under pressure.

Success Metrics

  • Execution: % of CEO action items completed on time; meeting follow-ups closed within SLAs.
  • Time Use: Reduction in schedule conflicts; increased focus time for the CEO.
  • Quality: Accuracy of deliverables; stakeholder satisfaction (internal/external).
  • Reliability: Zero confidentiality lapses; smooth travel/events with minimal escalations.

Compensation

$1,300 - $1,500 USD/month (US-based benchmark).

Job Profile

  • Location: Fully remote (US/Global).
  • Education: Bachelor’s welcomed but not required; English certification a plus.
  • Tech Setup: Modern laptop, reliable broadband, camera/headset for executive-level meetings.

Essential

  • Prior experience in an office/agency environment.
  • Familiarity with webinar/event coordination and research support.
