Job description
You are directly attached to the Care Manager (CM) and ensure the complete organization and management of the private division care secretariat with a high level of autonomy, efficiency, and reliability. Your knowledge of the institution, its processes, and its challenges allows you to intervene in a relevant and consistent manner in the follow-up of files and coordination of activities.
As such, you manage the mail, calls, and appointment scheduling for the Care Manager. You ensure the maintenance of the CM's agenda, writing and filing official documents, as well as preparing meetings from all aspects: establishing agendas, constituting and following up on files, writing and disseminating minutes, and tracking decisions. You also support the Care Manager in managing their schedule, updating tracking tables (notably related to staff and budget) and organizing logistical activities, including room reservations.
In close relation with the care team leaders of the private division, you are responsible for following up on and recording hours and absences of team leaders. You can also provide administrative support to new healthcare personnel, as delegated by your hierarchy. Thanks to your relational sense and ability to build connections, you play a crucial role in facilitating exchanges between teams, internal and external partners, and the Private Division Direction.
You ensure organizational, administrative, and communication support that allows projects to advance efficiently. You are an essential link for coordinating, following up on, and streamlining team work.
Your professionalism, analytical capacity, and sense of priorities enable you to manage multiple missions in a demanding environment while strictly respecting confidentiality and institutional rules in force.
