To support our growth, we are looking for an Executive Assistant and Operations Support who will help coordinate internal activities, organize agendas, and manage logistics for meetings and events, ensuring order, efficiency, and fluidity in daily team work.

Responsibilities
Executive support and coordination
- Organize agendas, meetings, and travel for the team.
- Take notes and prepare meeting minutes.
- Follow up on agreements and tasks resulting from meetings.
- Maintain updated institutional calendars and planning documents.
- Support preparation of presentations, reports, and materials for board meetings and partner meetings.
- Organize and maintain up-to-date physical and digital files for the organization.
- Support contract, agreement, and institutional documentation management.
- Coordinate information collection for audits, reports, and internal processes.
- Ensure correct application of administrative procedures and filing practices.
- Support the organization of meetings, trainings, and events.
- Manage reservations, providers, and logistical materials.
- Coordinate communication with participants and partners before and after events.
- Ensure each activity develops with order, punctuality, and attention to detail.
- Collaborate with Program, Finance, and Communication areas on operational tasks.
- Execute process improvements and management tools internally.
- Contribute to maintaining a collaborative, efficient, and positive work environment.
We are looking for someone organized, proactive, and with a service vocation. The ideal profile includes:
- At least 2-4 years of experience in administrative roles, executive support, or operations coordination.
- Excellent organizational skills and attention to detail.
- Capacity to manage multiple tasks and priorities with autonomy and judgment.
- Familiarity with office tools (Google Workspace, Excel, Docs, Calendar, Drive).
- Able to write meeting minutes, reports, and internal communications with clarity and precision.
- Native Spanish speaker and advanced English level.
- Collaborative focus, discretion, and ability to work with diverse teams.
- Previous experience in NGOs, foundations, or social and environmental projects will be valued.
- Residence in any point of the Spanish peninsula.

- Executive assistant or administrative support in social organizations or companies.
- Tech support for direction or management teams.
- Event coordinator, logistics, or training.
- Professional with experience in organizing, tracking, and documenting processes.
