Theatre Support & Equipment Loans Administrator

Job description

This is a pivotal behind-the-scenes role that keeps operating theatres running smoothly. If you're highly organised, enjoy logistics and coordination, and like knowing your work directly supports patient care, this could be an excellent next step.

About the role
Report to the Theatre Manager, you'll support the day-to-day functioning of the operating theatres by coordinating equipment loans, managing logistics, and providing essential administrative support to the Theatre Department.
This is a permanent, full-time position working Monday to Friday (40 hours per week), offering stability and routine while remaining closely connected to a fast-paced clinical environment.

What you'll be doing

  • Coordinate theatre equipment loans, including booking, receipting, tracking and returns
  • Manage implant ordering, receipting and storage alongside senior nursing staff
  • Maintain accurate documentation for equipment, loans and surgeon preference cards
  • Provide administrative support to senior theatre staff, including registries and equipment servicing
  • Organise logistics and courier services for equipment and biological materials
  • Liaise with suppliers, surgical partners, laboratories and external hospitals
  • Support the coordination and induction of medical representatives and contractors
  • Manage the cleanliness, presentation and roadworthiness of the assigned company vehicle
  • Uphold health and safety, privacy requirements, and quality improvement initiatives

Skills and experience

  • A full New Zealand driver's licence
  • Strong proficiency in Microsoft Office (Word, Excel and Outlook)
  • Proven experience in administration, logistics or dispatch coordination
  • Experience in healthcare administration, logistics, or familiarity with theatre environments and medical equipment
  • Excellent customer service and communication skills
  • Strong organisational skills and the ability to juggle multiple priorities
  • A proactive, solutions-focused approach
