Job Overview:

We’re helping our client, find a driven, hyper-organized operator to serve as the right hand to the founder. This role is not your average project manager, it’s a hybrid of operations lead, strategic executor and executive assistant with authority. The person in this role will translate the founder’s vision into reality by managing cross-functional projects, ensuring accountability and building scalable systems.

Responsibilities:

• Founder Support & Vision Execution

• Act as a direct extension of the founder—absorbing vision, strategy, and goals and ensuring execution.
• Own infrastructure handoffs from founder to teams with clear deliverables and timelines.
• Serve as the founder’s eyes and ears across departments, filtering updates and reporting actionable summaries.

• Oversee multi-departmental projects from kickoff to completion.
• Facilitate communication, track timelines, and hold teams accountable for milestones.
• Remove bottlenecks and escalate issues when necessary.

• Manage and refine ClickUp dashboards, spaces, and processes.
• Implement and maintain automations using Zapier, Make, or similar tools.
• Assist in building and optimizing AI-powered workflows.

• Deliver weekly project status reports to the founder.
• Document SOPs and process improvements to boost efficiency.
• Ensure visibility into timelines and priorities.

• Confidently communicate with all levels of the organization.
• Keep stakeholders aligned, on-task, and motivated.
• Bridge cultural and operational gaps between leadership and execution teams.

Requirements

Must-Have:

• 3+ years of experience in project management or executive operations (high-growth or founder-led environments preferred).
• Proven experience with ClickUp (or similar project management tools).
• Proven experience with Zapier or other workflow automation tools.
• Strong grasp of AI tools (ChatGPT, Claude, etc.) and ability to operationalize them.
• Exceptional organizational skills and attention to detail.
• Confident communicator with experience managing up and across.
• Self-starter comfortable with context-switching and ambiguity.

Nice-to-Have:

• Direct experience working under a founder, COO, or senior leadership.
• Exposure to eCommerce, wellness, or digital marketing industries.
• Familiarity with systems like Shopify, Klaviyo, or Airtable.
• Experience owning SOP rollouts or process documentation.
