Internship – Communication & Event Management Assistant (Adopt AI Hackathons)

  • Contract Type: Internship (6 months)
  • Start Date: September 2026
  • Location: Paris 9th

About Artefact Adopt AI

At Artefact Adopt AI, we design and organize innovation hackathons on major technological and societal issues. Our goal, in conjunction with major public and private players: to bring together students, developers, entrepreneurs, researchers, and business experts to develop, in a few days, concrete ideas and prototypes that address real challenges.

From December 2 to 4, 2026, our hackathons will take place at the Grand Palais during Adopt AI, the largest European trade show dedicated to AI, gathering thousands of participants.

To support us in the communication and organization of our hackathons – before, during, and after Adopt AI, we are looking for a Communication & Event Management Assistant.

Your Missions

Reporting to the team and under the responsibility of the Head of Communication and Events, your missions will cover the two major pillars of our projects:

1. Communication & Content

  • Creation of visual materials: Design of visuals, communication kits, newsletters, LinkedIn posts, print materials (roll-ups, signage, stand backdrops, merchandise).
  • Writing & Engagement: Writing of materials for participants, speakers, sponsors, and clients. Managing communication channels.
  • Event promotion: Updating web pages/presentations and publicizing hackathons and key moments (before, during, and after the event).

2. Event Management & Production

Pre-event:

  • Coordination with various service providers (venue, catering, scenography, furniture) and management of orders / merchandise.
  • Participation in the creation of supporting documents (event schedule, agendas/run-downs, staffing, service provider briefs).
  • Assistance with budget management and tracking

Event Day (During the event):

  • Presence on site to support the operations and production team.
  • Logistical coordination of service providers, flow management, and deliveries.
  • Welcoming and ensuring the best possible experience for participants, sponsors, and VIPs.

Post-event:

  • Follow-up on dismantling, logistical feedback, budget review, and invoicing.
  • Post-event communication

Indicative Internship Roadmap

  • Sept: Familiarization with tools, preparation and launch of initial communication actions
  • Oct: Intensified communication & launch of event logistics
  • Nov: Pre-event rush (intensive communication & final sprint of operational organization)
  • Dec: Event Day at the Grand Palais (on-site presence, live event management)
  • Jan – Feb: Review, lessons learned, post-event promotion & continuation of communication/event projects

Profile Sought

  • Education: Master's student (Bac+4/5) in Communication, Event Management, Marketing, or Business School.

  • Tools & Skills:
    • Canva: Advanced proficiency essential.
    • Adobe Suite (Photoshop, Illustrator, InDesign) & Video Editing: A definite plus.
    • Office & Collaborative Tools: Google Suite / Microsoft, Klaxoon, etc.
  • Languages: Perfect writing skills and impeccable spelling in French and English (bilingual environment).

  • Personal Qualities:
    • Rigor & Organization: Ability to carefully manage a budget, schedule, and logistical tasks.
    • Creativity & Aesthetic Sense: Proactive in proposing visuals and concepts.
    • Interpersonal Skills & Team Spirit: Ease in communicating with diverse stakeholders (project managers, service providers, partners, clients).
    • Autonomy & Responsiveness: Ability to work on multiple subjects in parallel in a dynamic environment.
