(Senior) Payroll & HR Operations Manager (m/f/d)

With a team of over 150 employees in Hamburg & Kiel, we are in an exciting growth phase. Therefore, we are expanding our HR team and are looking for a (Senior) Payroll & HR Operations Manager (m/f/d) who can further professionalize our HR processes, create operational excellence, and at the same time confidently support preparatory payroll accounting.

You will work closely with the Head of HR, our HR Payroll & Administration Manager, our tax advisor, and the management team, ensuring that our HR organization is set up to be efficient, scalable, and future-proof.

• Responsibility for operational HR administration throughout the entire employee lifecycle – from contract creation to termination
• Creation of employment contracts, addendums, contract amendments, certificates, employment references, and maintenance of digital personnel files
• Responsibility for onboarding and offboarding processes, as well as coordination of all administrative HR procedures
• Ensuring excellent master data quality and responsibility for Personio as the central HR platform
• Development, optimization, and standardization of HR processes, policies, and documentation
• Analysis of existing workflows, identification of weaknesses, and implementation of sustainable improvements
• Independent execution of cleanup operations, data cleansing, and quality initiatives within the HR organization
• Creation of meaningful reports, HR metrics, and KPI dashboards as a basis for management decisions
• Participation in HR projects, digitalization initiatives, and implementation of new processes, automations, and AI-supported solutions
• Support with audits, data protection, compliance, and labor law documentation obligations
• Administrative support for vacation, working hours, sickness, eAU processes, special leave, and implementation of the Betriebliches Eingliederungsmanagement (BEM - company reintegration management)
• Support for preparatory payroll accounting and representation of the payroll area during absences
• Close collaboration with health insurance providers, authorities, the tax advisor, and internal contacts

• Successfully completed commercial apprenticeship, further training in human resources, or a degree with a focus on Human Resources, Business Administration, or comparable qualification
• Several years of professional experience in HR Operations, Personnel Administration, or HR Management
• Very good knowledge of operational personnel management and sound experience along the entire employee lifecycle
• Good knowledge of preparatory payroll accounting and labor tax and social security law
• Experience with Personio or comparable HR systems
• Strong process and organizational skills and enjoyment of sustainably improving structures
• Analytical mindset and high affinity for numbers and data
• Independent, structured, and solution-oriented way of working
• High quality standards, strong hands-on mentality, and an eye for detail
• Very good German language skills, both written and spoken
• You don't wait to be told what needs to be improved.
• You identify inefficiencies, critically question existing processes, and develop sustainable solutions from them.
• You create order, bring structure to complex topics, and ensure that HR processes function reliably even with further company growth.
