Do you want to be responsible for the operational systems of a growing agency and build processes that function even without you? Operations is the lever at EVOLVE that makes the whole team faster. Your task is to ensure that goals, processes, and automations perfectly mesh in everyday life.

What your workday could look like:

During the weekly check-in, you notice that three quarterly projects have been stalled for two weeks. You don't ask about the status, but look at the process behind it. Together with the team lead, you go through the workflow: The numbers are scattered across 3 different locations and would have to be manually compiled every Monday. No wonder it's not happening.

You rebuild the process. A workflow is created with clear responsibilities and deadlines, and the numbers are automatically fed into a dashboard. Implemented with our process team.

In the reporting to management, the target progress is now on the table every week. One day later, you tackle the next bottleneck. Not because someone complained, but because inefficient workflows catch your eye.

• Goals into everyday life. Annual and quarterly goals become measures, milestones, and check-ins that actually happen.

• Automation instead of manual work. What happens manually twice will then run via Make, n8n, or Claude.

• AI as a tool in everyday life. AI does not replace anyone here. Everyone uses AI like a junior assistant to work better and more efficiently.

What awaits you here

• Making goals operational: You translate annual and quarterly goals into concrete measures, milestones, and checklists. This keeps strategy tangible in everyday life.

• Operational workflows: You manage the workflows within the agency, and if necessary, additionally in Finance and People Ops, from accounting to onboarding.

• Automations: You introduce new automations and processes using Claude, Make, and n8n. You implement them yourself or with the support of our team.

• Data analysis: You develop KPI dashboards and overviews where they are needed and manage the OKR system in daily operations with check-ins and reminders.

• Bottlenecks: Together with the team leads, you go through bottlenecks in daily operations and solve them at the root, not with a quick fix.

Your role and your resources: You work with the team leads of all six departments on an equal footing, without having disciplinary leadership over them. Our AI and process team is available to you for the technical implementation of automations. You decide what gets built.

What you should bring

• Several years of experience in project business or process management, ideally in an agency or e-commerce environment.

• You are familiar with project management tools like ClickUp or Asana and understand automation tools like Make or n8n.

• Analytical and systemic thinking with basic controlling knowledge. You don't just see the key figure, but also what's behind it.

• Clear, structured communication internally and externally. You work with team leads on their processes at an equal level.

• Proficient in Google Sheets and Excel for analysis and data structures.

• High affinity for AI tools like Claude and ChatGPT. You use them to build systems and solve problems, not just to create texts.

• Very good self-organization skills, as we work fully remotely.

How the process works

First interview. A short video call with Vanessa from our HR department. It's about mutual getting to know each other, the framework, and expectations.

Technical interview. Here we go into depth, with the management or the Head of Operations.

Final getting to know each other. With the management and your future contact person, on a personal and professional level.

Decision and start. We decide quickly and plan your onboarding together.

How long it takes: We value a quick application process. There are only a few days between each step. If you are in other processes simultaneously, let us know. We will accommodate that.

Your development opportunities

The first two months. You will get to know the workflows of our six departments and take over the goal system in daily operations with check-ins, reminders, and dashboards.

Mid-term. You will independently manage processes and automations in your areas. In addition, you will be responsible for the operational management of Finance and People Ops processes.

Long-term. Career path with a focus on systems and automation, or a leadership career towards Head of Operations, once the goal system, process landscape, and KPI landscape are established. Both paths are created through results, not through waiting time.
