About the Role

The Medical Records Request Specialist is responsible for actively requesting medical records from healthcare providers and ensuring those requests are followed through to completion. This role focuses on provider outreach, follow-ups, and managing outstanding requests—not document intake or basic processing.

You will handle multiple open requests at a time, track progress, and work directly with provider offices to resolve delays or rejections.

Key Responsibilities

• Submit medical record requests via provider portals, fax, email, or other approved methods
• Research and follow provider-specific submission requirements
• Ensure all request packets are complete before submission

• Perform regular follow-ups with provider offices regarding pending requests
• Track aging requests and prioritize based on turnaround targets
• Handle rejections, resubmissions, and missing requirements
• Escalate unresponsive providers according to SOPs

• Maintain accurate status updates for each request
• Document follow-up activity and provider responses
• Ensure received records are logged and routed properly

• Adhere strictly to retrieval workflows and timelines
• Identify recurring provider issues and flag them for review

What You Bring

• Experience requesting medical records from providers
• Familiarity with ROI/HIM workflows
• Comfort with outbound follow-up and persistence-based tasks
• Strong organization and attention to detail
• Experience with tools like ChartSwap, Datavant, MRO, CIOX, or Sharecare is a plus
