Project Administrator

Job description

CONTEXT OF THE ROLE

The Project Administrator is responsible for providing administrative support to project teams. They assist in tracking project progress and maintaining project documentation. They are also involved in invoice billing, audits, and communication with stakeholders. Strong organizational and communication skills are essential for this role, as well as the ability to work well under pressure and meet deadlines.

PURPOSE OF THE ROLE

  • Prepares, tracks and compiles all required field data
  • Maintain job files (both hard files and electronic), update company-based programs.
  • Provides accurate and up to date information on time sensitive material.
  • Interacts with vendors, contractors, employees
  • Communicate with Operations Team regarding invoicing questions, reviews and revisions
  • Validate daily paperwork and reconcile costs with vendor invoices
  • Prepare invoice billing packages for clients, including support documents
  • Update invoices daily and communicate current value
  • Audit invoices prior to distribution against customer contracts
  • Assist with A/R duties including collections
  • Other duties on an ad hoc basis as required.

Job Complexity:

  • Invoice and credit memo generation and delivery
  • Collects all daily reports, timesheets and sign-in-sheets, and material tracking. Reviews and organizes information.

QUALIFICATIONS/EDUCATION and EXPERIENCE:

  • Matric
  • Business, Administration and or related qualifications are advantageous
  • Experience working on Sales Force is advantageous
  • 2 Years of Project Administration/Project management experience.
  • 2 Years of Office Management experience

Suitable candidates must be available to work U.S. hours, scheduled between 17:00 and 02:00, Monday to Friday.
