Onboarding Manager (m/f/d) - Startup AI Healthcare - Hybrid

Responsibilities

• You will be responsible for onboarding projects end-to-end: from kickoff / requirements interview through setup and training to successful go-live. By the way: we work entirely virtually with our clients!
• You will manage multiple projects in parallel and keep track of deadlines, dependencies, and outstanding items.
• You will specifically support (but not exclusively) our key accounts (from single practices to practice networks with multiple locations) as the central point of contact and plan their rollouts.
• You will help build our onboarding to be scalable: project plans, checklists, training materials, and clear quality standards.
• You will ensure quality at go-live: you will review anonymized conversations between AI and patients, derive fine-tuning measures, and hand over in a structured manner to the product/dev team.
• You will be the bridge between the practice and the product: you will prepare insights prioritized for the team and accompany tests of new features and integrations.

Qualifications

• Project management experience: You have managed multiple client projects in parallel and successfully bring them to completion even when deliverables are not on time.
• Strong organizational skills: You structure your approach independently, document comprehensibly, and maintain an overview.
• Proven experience in supporting key accounts or demanding stakeholders, ideally at an executive level.
• Hands-on mentality: You don't wait for perfect processes; you help shape them.
• Experience in the healthcare sector, working with medical practices, or in the digital health sector.
• Empathy and service orientation: You understand how practice teams think and work – and keep process efficiency and data protection (GDPR) in mind.
• Language proficiency: Native-level German (C2) and good English (for product understanding and internal communication).
• Digital affinity: Proficient with CRM and practice management systems, open to new tools and AI-powered solutions.

We are also particularly interested in:

• Experience with rollouts across multiple locations or with practice networks / medical care centers (MVZ).
• Knowledge of project management methods and tools.
• Training or studies in the healthcare field (e.g., Medical Assistant, Practice Management, Health Management).
