Job description
We are seeking a skilled Rentals Administrator to join our team and provide high-level support in managing plant, equipment, vehicles, and tools. You will work closely with our Office Manager and General Manager of Plant & Assets, ensuring our hire operations run efficiently and accurately.

Key Responsibilities
- Administer plant and equipment hire processes from booking through to return.
- Track usage via software systems and reconcile with day dockets to ensure accurate billing and payroll.
- Coordinate maintenance schedules, service requests, and fault reporting.
- Manage insurance paperwork, compliance records, and safety documentation.
- Prepare and process invoices, manage debtor accounts, and follow up payments.
- Liaise with site teams, suppliers, and clients to ensure timely delivery and collection of equipment.
- Maintain accurate records of fleet utilisation, hire agreements, and asset registers.
Skills & Experience We’re looking for candidates with:
- Experience in plant/equipment hire or rentals administration (construction industry highly regarded).
- Strong computer literacy with hire management software, ERP systems, and MS Office (Excel essential).
- Experience with Fleet Office software is highly beneficial.
- Knowledge of compliance requirements for plant/equipment (service logs, safety checks, insurance).
- Excellent organisational skills with attention to detail and accuracy in data entry.
- Strong communication skills to liaise with internal teams, suppliers, and clients.
- Ability to prioritise tasks in a fast-paced environment and meet deadlines.
- Financial administration skills including invoicing, debtor management, and reconciliations.
- Problem-solving mindset to manage breakdowns, urgent requests, and scheduling conflicts.
- Understanding of construction site operations and plant/equipment usage (preferred).

- Standard hours: 8am–5pm (flexible options such as 7am–4pm available)
