People Operations Specialist (m/f/d) for Climate Protection Wanted!

We are looking for someone like you: You will take on the role of People Operations Specialist and be responsible for this area independently – we do not have a separate HR department, but rather People Operations is anchored as a stand-alone function in our Company Resources team and is directly linked to management. This means for you: a lot of personal responsibility, short decision-making processes, and the opportunity to shape your area.

Tasks

The Role: People Operations Specialist (m/f/d)

• Working hours: 80–100% (32-40h) – flexible and in consultation with you
• Location: 100% Remote within Germany. A valid work permit for the EU is a prerequisite.
• Team: You will be solely responsible for People Operations – as part of our Company Resources team and in close, direct exchange with management.

Your Mission: Here you will take responsibility!

As the sole person responsible for People Operations, you will ensure smooth and correct processes. If you enjoy maintaining structures, optimizing processes, and being a reliable support for the team, then this is your chance:

• Payroll Preparation and Control: You will prepare and control the monthly payroll for Germany and Belgium; you will handle Austria and Switzerland on an ad-hoc basis – accuracy and punctuality are crucial.
• Contracts, Employee Lifecycle, and Authorities: You will create and manage employment contracts, addenda, and personnel files across countries and support the entire employee lifecycle – from contract changes and parental leave to visa and secondment issues, with a high proportion of case-by-case work. You will coordinate correspondence with authorities with our external consultants.
• Central Point of Contact: You will be the competent go-to person for our colleagues domestically and abroad for all People Operations questions.
• Key Figures, Reporting Obligations, and Data Protection: You will provide personnel key figures for management and funding projects and are responsible for data protection in the personnel area as well as the data basis for the EU Pay Transparency Directive.
• HR Systems and Service Providers: You will be responsible for our People Systems landscape (Leapsome including time tracking, Join for applicant management), ensure data quality, and manage our service providers.
• Recruiting Operations: You will coordinate applicant management, including scheduling and feedback – selection and interviews are handled by the hiring managers.

Qualifications

Do you fit in with us?

What you bring: We are not looking for Jacks-of-all-trades. If you are particularly strong in one area and less so in another, tell us – we can cover individual components externally. However, we rely on existing experience for payroll preparation and HRIS.

• Operational Experience: at least four years in People Operations or HR Administration, including one year of independent responsibility in payroll preparation.
• Independence & Structure: You work independently, systematically, and carefully, prioritize reliably, and maintain an overview – your processes are lean and dependable. You have experience in operations.
• People Operations Know-how: People Operations and the preparation and control of payroll are your thing – ideally for multiple countries.
• HRIS Experience: You have already worked with a modern HRIS – from an administrative perspective, not just from a user perspective (e.g., Personio, HiBob, BambooHR, Leapsome). Leapsome experience is a clear plus, as we are currently expanding it to be the leading data source for our personnel data; experience with Join is another plus.
• Team Player in a Remote Setup: You enjoy working remotely and value close collaboration with the Company Resources team and management.
• Clear Communication: Very good German and English skills are a prerequisite – you communicate understandably with colleagues at all levels, both domestically and abroad.
• Labor Law, Data Protection & Pragmatism: You are familiar with German labor law, have a feel for data protection and reporting obligations (e.g., EU Pay Transparency Directive), and find the balance between efficient solutions, compliance, and fair treatment within the team.
