Job description
About Mindpeak
Mindpeak is an AI company from Hamburg with a clear mission: to make cancer diagnoses more accurate, efficient, and personalized.
We develop deep learning solutions for computer-assisted pathology, bringing AI directly into clinical practice. Our technology is already used in routine diagnostics in over 25 countries and supports leading pharmaceutical and biotech companies in the development of new cancer therapies.
Around 50 people from technology, medicine, and science work together with us towards this goal.
About the Role
At Mindpeak, we are working to improve cancer diagnostics with AI. So that they can concentrate on their work, there needs to be someone in the background ensuring that our People Operations run smoothly.
This is exactly where you come in.
As a People & Business Operations Specialist, you are the operational backbone of our People and Business Operations. You ensure that new colleagues have a good start, employee data is correct, payroll is prepared, invoices and administrative financial processes are reliably handled, documents are available on time, training is kept track of, and our employees receive quick support with administrative and organizational questions.
Your Tasks
HR Administration & Personio: You keep employee data, absences, working time models, and documents up-to-date and ensure a reliable data basis.
On- & Offboarding: You coordinate the administrative steps for new hires and leavers, from Google accounts and hardware to access and returns, and ensure a smooth process.
Payroll & Finance Administration: You prepare the monthly payroll, process reimbursements for employees, and support our financial administration, especially with preparatory accounting, invoice processing, and managing company credit cards.
Business Operations & Process Coordination: You manage administrative contract deadlines, keep company insurances up-to-date, coordinate external service providers, and ensure that recurring administrative processes run in a structured and reliable manner.
HR Documents: You handle certificates, references, and other administrative documents.
Contract Administration: You prepare employment contracts, contract amendments, and addenda based on our templates and manage the signature process.
Social Security & Benefits: You manage administrative topics related to social security, company pension schemes, and benefits, and coordinate with our external partners.
Compliance, Training & Occupational Safety: You administer our Learning Management System, manage mandatory training and annual instructions on occupational and fire safety, and document training records in a way that is reliable for audits (e.g., ISO).
HR Reporting: You create reports on topics such as headcount, absences, or training.
People Processes: You provide organizational support for feedback cycles and other recurring people processes, and take care of team rituals such as birthdays, anniversaries, and farewells.
Employee Support: You are a reliable point of contact for administrative HR questions and ensure that concerns are addressed promptly.
What we are looking for
You will be a good fit for us if you:
have a completed commercial apprenticeship or a comparable qualification,
have already gained practical experience in business or HR administration, people operations, or human resources,
work in a structured, meticulous, and independent manner, and take responsibility for your tasks,
handle sensitive personnel data confidentially and carefully,
can maintain an overview even with many parallel tasks and reliably bring things to completion,
enjoy organizing and take pleasure when processes run smoothly,
are service-oriented and enjoy ensuring that others can work well,
work confidently with digital tools – experience with Personio is a plus,
ideally have already worked in a regulated environment, e.g., in MedTech or an ISO-certified company (not a must),
have very good German and very good English skills.
Why this role is important
Good People and Business Operations are sometimes only noticed when they don't work. For us, they are therefore not a side issue, but an important foundation for a well-functioning company.
In this role, you have a direct impact on the daily work of our entire team. You create structure, reliability, and good service for our employees – and thereby free up others to concentrate on their actual work.
What we offer
A role with real impact in a company that is improving cancer diagnostics with AI
One remote day per week – on the other four days, you work with the team in our office in Hamburg, with short distances to all colleagues
A beautiful office overlooking Hamburg harbor
A great, international team with short decision-making processes, an open atmosphere, and mutual support and appreciation
Regular team events
Good coffee, muesli, and drinks – for a good start to the day and a short break in between
