Job description

The Owner & Tenant Transition Specialist is responsible for managing the end-to-end onboarding experience for new property management clients once a sale is completed. This role ensures owners, properties, and tenants are accurately set up in Rentvine and supporting systems, while providing consistent communication and guidance during the critical first weeks of the relationship. The position serves as the primary operational owner of onboarding execution, with a strong emphasis on accuracy, follow-through, and client satisfaction. Key Responsibilities: * Manage the onboarding process for new owner clients, properties, and tenants. * Coordinate and facilitate the seamless transfer of information and data from the sales team to operations. * Verify and accurately input all required owner, property, and tenant information into Rentvine and supporting systems. * Conduct welcome calls with new owners and tenants to introduce them to the company and onboarding process. * Act as the primary point of contact for new owners and tenants, addressing questions and providing support during the transition period. * Proactively communicate with owners and tenants regarding key milestones, deadlines, and requirements. * Troubleshoot and resolve any issues that arise during the onboarding process. * Collaborate with internal teams (e.g., accounting, maintenance) to ensure smooth operations. * Develop and maintain onboarding documentation, training materials, and process improvements. * Track and report on onboarding metrics, identifying areas for improvement. * Ensure compliance with all relevant company policies, procedures, and legal requirements. Qualifications: * High school diploma or equivalent; Associate's or Bachelor's degree preferred. * Proven experience in customer service, property management, or a related field. * Strong organizational and time-management skills with the ability to prioritize tasks effectively. * Excellent communication and interpersonal skills, with the ability to build rapport with clients. * Detail-oriented with a focus on accuracy and data integrity. * Proficiency in Microsoft Office Suite (Word, Excel, Outlook). * Experience with property management software (Rentvine or similar) is a plus. * Ability to work independently and as part of a team. * Ability to adapt to changing priorities and deadlines.
