Operations Manager - Project Management & Project Completion (m/f/d)

VIGOWATT is a growing company in the field of photovoltaics and energy technology, based in Paderborn. We manage projects from preparation through installation and technical implementation to complete project closure.

For our team, we are looking for a structured, assertive, and solution-oriented personality who will take responsibility for ongoing projects and ensure that open issues are not left unattended.

With us, you won't get one fully prepared task after another. You will take responsibility, independently figure out why a project is not progressing, and consistently lead it to completion.

Tasks

• Independent management and follow-up of ongoing projects until complete closure
• Analysis and clarification of why projects, invoices, or individual work steps are still open
• Active follow-up with customers, electricians, grid operators, subcontractors, and business partners
• Coordination of missing installation, service, and rework appointments
• Follow-up of grid connections, registrations, documentation, and missing documents
• Coordination and follow-up of technical remaining work and defect rectifications
• Processing and coordination of customer complaints and more complex customer cases
• Ensuring professional and comprehensible customer communication
• Checking and follow-up of outstanding invoices as well as clarification of reasons for outstanding payments
• Prioritization of open projects based on urgency and economic importance
• Setting and consistent tracking of deadlines
• Preparation of complex or legal matters for management or external consultants
• Documentation of all agreements, open points, and next steps in our digital systems
• Close coordination with management, installation, project preparation, and accounting
• Active participation in the improvement of our internal processes and project processes

Important: For us, "processed" does not mean that an email has been sent. A case is only truly processed when the problem has been solved or a clear next step with a responsible person and a binding deadline has been established.

Qualifications

For this position, we are not looking for pure administrative work, but for a person who takes responsibility for results.

You are a good fit for us if you:

• have already gained experience in project management, operations management, technical project management, or a comparable coordinating role
• work very independently and in a structured manner
• independently analyze problems and identify causes
• enjoy making phone calls and actively approach customers, partners, and service providers
• consistently follow up and do not shy away from difficult conversations
• can prioritize and follow up on multiple open cases simultaneously
• prepare decisions instead of merely passing on problems
• communicate reliably, friendly, and assertively at the same time
• think economically and understand how important complete project completion is for a company
• can confidently use digital work and project management systems
• have very good German language skills, both written and spoken

Experience from photovoltaics, energy technology, electrical trades, construction, crafts, or technical project management is an advantage, but not a mandatory requirement.

What is crucial for us is less your specific industry and more your ability to quickly familiarize yourself with complex matters and consistently bring open issues to a conclusion.
