Job description
About SR Travel
SR Travel GmbH & Co. KG in Gießen is an international tour operator for group tours, a supplier for direct tourist sales, and an incoming agency for Germany & EU. Inspiring trips with real experiences are our specialty, and we conceptualize and organize large and small series, MICE projects, as well as tailor-made group tours with an international network of hotels, DMCs, transportation companies, and other tourism service partners.
To strengthen our team, we are looking for a meticulous and financially-minded Operations Specialist who will support the operational preparation and execution of our group and series tours, reliably maintain travel-related data, and contribute to the further development of our processes and systems.
Your Tasks
Operational Tour Processing and Season Preparation: You will be responsible for the operational preparation, execution, and follow-up of group and series tours in the back office. Before the season begins, you will create the necessary structures and data foundations for smooth tour processing.
Tour and System Maintenance: You will create individual tours in our company-specific systems and update the relevant travel-related data during the ongoing season.
Quota and Service Maintenance: You will check and maintain quotas, make hotel allocations, and create hotels, ancillary service providers, and other tourism service partners in the systems used.
Booking and Participant You will transfer and maintain booking numbers, guest and participant numbers, and other information required for tour processing. You will also check the data for completeness and plausibility.
Tour Documents and Document Management: You will create, check, and send participant lists, vouchers, and other tour documents on time. This ensures complete and correct documentation throughout the entire tour process.
Lists and Data Evaluations: You will create and maintain operational work lists in MS Excel or LibreOffice Calc. You will carefully check extensive spreadsheets, datasets, formulas, and evaluation logics for functionality and accuracy.
Operational Day-to-Day Business: You will process short-term changes and reliably transfer them into the relevant systems, lists, and tour documents. You will follow up on open operational issues and coordinate the necessary measures with the involved parties.
Clarification and Complaint Cases: You will support the processing of operational clarification and complaint cases. For this purpose, you will research and analyze situations, identify potential sources of error, and contribute to suitable solutions.
Process and Tool Optimization: You will review existing workflows, data structures, and tools used and identify potential for improvement. You will adapt and further develop existing formulas and evaluation logics in Excel or LibreOffice Calc as needed.
Import and Data Transfer Processes: You will support the application, testing, and further development of importers. If necessary, you will contribute to optimizing existing or developing new import and data transfer processes.
Digital and AI-supported Working Methods: You will bring your interest in digital solutions and support – where meaningful for the area of responsibility – the application and further development of AI-supported processes and systems.
Cross-functional Collaboration: You will work closely with adjacent departments and divisions. You will support the involved teams with operational, system-related, and process-related questions and participate in interdepartmental projects.
What You Bring
Completed commercial or tourism apprenticeship, completed degree, or a comparable qualification
Several years of professional experience in commercial administration; experience in back-office operations is an advantage
Experience in the tourism industry, particularly in handling group or series tours, is desirable
Very good knowledge of MS Excel; knowledge of LibreOffice Calc is an advantage
Confident handling of extensive spreadsheets, data lists, complex formulas, and evaluation logics
Strong affinity for numbers as well as a good understanding of large amounts of data, interrelationships, and plausibility
Experience with data-driven processes, imports, or system-supported data maintenance is an advantage
Experience in optimization projects or in the further development of processes and workflows is desirable
Affinity for digital tools as well as interest in the practical application and further development of AI-supported working methods
Very careful, accurate, and structured way of working
High sense of quality and responsibility, especially for time-critical and deadline-bound tasks
Ability to systematically identify and analyze sources of error and to resolve them within your own area of responsibility
Independent and reliable work style combined with a high degree of team and service orientation
Ability to handle multiple operational tasks concurrently and to adapt priorities to seasonal requirements
Willingness to intensively familiarize yourself with company-specific systems, processes, and new tools
Your First Months at SR Travel
In your first months, you will take over the operational support of ongoing group tours and familiarize yourself with our existing booking and coordination processes with our international partners. You will get to know our network of hotels and service providers and manage your first own projects from preparation to final execution. Even if you do not meet all the requirements one hundred percent, we still look forward to your application.
