Job description
You make our Berlin office the place where our team likes to work – and gradually take on tasks from People Operations.
Your Mission
You are the first point of contact for everything that defines our office: You ensure that things run smoothly, guests feel welcome, and no one on the team has to wonder where the coffee, the package, or the meeting room adapter has gone.
Currently, Office Management is done on the side by the People & Culture Team. Your job is to take this over, put it into clear processes – and gradually grow into People Operations topics.
Honestly: The focus of this role is on Office Management, about 70% of your time. The remaining approximately 30% is People Ops – with the perspective of expanding this share as the role, team, and company grow.
Your Responsibilities
Office & Facility (Main Focus)
You keep our office in Berlin-Kreuzberg running: reception of guests, mail, deliveries, tidiness in the kitchen, meeting rooms, and common areas.
You manage our service providers – landlords, cleaning staff, craftspeople, beverage and snack suppliers – and are their main contact person.
You manage access, keys, and workstations, and ensure that new colleagues have a ready workspace from day one.
Procurement & Budget
You handle the ordering of office supplies, consumables, and team needs.
You pre-check invoices, prepare them for our Finance Team, and keep an eye on the office budget.
Events & Team Experience
You organize team events, offsites, summer party, and Christmas party – from the location to catering to logistics.
You support the organization of our Onsite Weeks when our remote-working colleagues come to Berlin.
People Operations (Your Growth Area)
You prepare onboarding: welcome package, workstation, master data in Personio, coordination of the first day.
You maintain personnel files and master data, create certificates, and manage the return of documents.
You monitor time tracking and absences in Personio and prepare input for payroll.
You support recruitment: interview coordination in Ashby, care of candidates on-site.
You contribute to People projects – from benefits and our employee handbook to feedback cycles.

Structure Instead of Firefighting: We prefer you to solve a problem correctly once and document it, rather than solving it ten times. Building simple, reliable processes is part of the job.
AI as a Daily Tool: We use AI tools like Claude company-wide. Whether it's drafting text, creating checklists, or analyzing data – we expect you to actively use AI to work faster and better.
Growth Aligned with the Role: How quickly the People Ops share grows depends on how smoothly the office runs and what topics arise in the team. We discuss this regularly and openly.
Your Profile
You are a good fit for us if you bring:
Fluent German and good English. Our team is international, our daily routine is bilingual.
First professional experience in Office Management, administration, reception, hospitality, or event management – or a commercial apprenticeship with comparable practical experience.
Organizational talent and self-motivation. You see what needs to be done before anyone points it out to you and you see things through.
Discretion. You work with personnel data and confidential information and handle it carefully as a matter of course.
Proficiency with digital tools (Google Workspace, Slack, Notion) and eagerness to learn new systems.
Genuine interest in People and HR topics and the willingness to develop yourself in this area step by step.
Bonus points for:
Experience with Personio or a comparable HR system
First exposure to HR administration, recruitment coordination, or payroll support
Experience in a fast-growing startup
Basic understanding of invoice checking and budget control
Experience in organizing team events
Entry-level candidates are explicitly welcome – how you work is more important to us than how long you've been doing it.
Practicalities
This role is a presence role in our office at Prinzenstraße 34 in Berlin-Kreuzberg – a large part of the tasks can only be done on-site. We expect you in the office 4-5 days a week and are flexible regarding working hours and individual remote days. The position is advertised as full-time, but also possible from 32 hours.
Salary: €40,000 – €45,000 gross per year for a 40-hour week, proportionally for reduced hours.
