Job description
Do you spot errors in the budget faster than others find their keys?
Exactly this talent is what we need to ensure our new funding project in the area of business succession stands on a solid administrative and financial foundation. You will build the project administration from scratch, keep an eye on budgets and deadlines, and ensure that all relevant documents are complete and always traceable. You will work directly with the project management and identify when action is needed early on.
What it's about: Every year, tens of thousands of small and medium-sized enterprises in Germany face the question of succession. If it remains unsolved, businesses, jobs, knowledge, and regional value creation disappear. We want to contribute to preserving this backbone of the German economy and support businesses in successfully preparing and implementing business successions with understandable information offerings and practical events.
About us: NDF is the brand of Key Progress Makers Advisory GmbH specializing in public funding. We work primarily with startups and innovative companies that develop new products, technologies, or business models and are looking for suitable financing opportunities. We help them identify funding potentials and structure ambitious projects so that an idea can become a viable project. We are now bringing this experience into our own publicly funded project focused on business succession.
Framework Conditions: The position is 19.5 hours per week. Working hours can be flexibly arranged by agreement. You will work predominantly remotely and occasionally attend joint appointments in Berlin. The start date is as soon as possible, ideally in September 2026.
Tasks
Your focus will be on funding administration, financial project documentation, and setting up an audit-proof digital project file. For accounting and HR administrative processes, you will concentrate on the documents relevant to the project and work closely with management, project leadership, and our external tax advisors.
- You will build a complete digital project file and ensure that deadlines, proofs, and documents are always traceable and documented.
- You will administratively prepare funding requests, reports, amendment documents, and proof of use for the funding project.
- You will monitor the project budget, maintain cost centers and account assignments, create regular planned vs. actual analyses, and prepare accounting and settlement-relevant documents.
- You will ensure that participant lists, consent forms, event confirmations, and settlement-relevant data are complete.
- Additionally, you will support the management of project-related personnel documents, contracts, invoices, participation fees, and outstanding receivables, and proactively point out deviations or risks.
- You will develop clear templates, checklists, and digital processes to ensure recurring administrative tasks are performed reliably and efficiently.
Qualifications
- At least three years of practical experience in commercial administration, accounting, project administration, or funding management.
- Proficient knowledge in accounting, invoice verification, document assignment, and cost accounting.
- Experience with deadline, document, and proof management.
- Very good knowledge of Excel or a comparable spreadsheet program.
- The ability to identify financial and administrative discrepancies early on and resolve them in a structured manner.
- A very meticulous, reliable, and independent way of working.
- Very good written German and clear, binding communication.
- Secure and discreet handling of confidential personnel, financial, and participant data.
- Willingness to thoroughly familiarize yourself with funding conditions and digital funding systems.
- A reflective and data protection-compliant approach to digital tools, automation, and AI.
A specific educational or academic degree is not decisive for us. You can gain relevant experience, for example, from commercial administration, accounting, tax consulting, HR administration, or the administration of publicly funded projects.
It is important that you see processes through to completion, reliably obtain missing information, and not only report risks but also present them with a concrete solution proposal.
Benefits
- A responsible role in a newly emerging project with recognizable social and economic benefit.
- Significant scope for shaping the project administration and reliable digital processes.
- Direct collaboration with project management, short coordination paths, and the opportunity to integrate risks into decisions early on.
- A flexible part-time model with predominantly remote work and occasional joint appointments in Berlin.
- A modern and appreciative collaboration where commitment, personal responsibility, and careful work are genuinely valued.
- The prospect of continuing to work together after the three-year project duration and taking on additional professional responsibility for other projects with the established structures.
The role is right for you if…
… you pay close attention to numbers, deadlines, and documents, and enjoy ensuring that even complex processes are cleanly structured and always traceable.
… you are forward-thinking, reliable, and friendly persistent, consistently gather missing contributions, and remain calm and in control even under pressure.
… you desire a modern, appreciative collaboration and want to use your diligence for a project whose social and economic benefit is immediately recognizable.
How to apply
First, send us your CV. If your profile fits, we will invite you for an initial get-to-know-you meeting. This will be followed by a professional exchange; if necessary, we will supplement the process with a short and clearly defined practical or Excel task. You will receive feedback within a few working days after each step.
Planned Start: ideally 01.09.2026.
We welcome applications regardless of gender and gender identity, ethnic or social origin, nationality, religion or belief, disability, age, or sexual orientation. Competence, motivation, and the perspective you bring to the project are decisive.
