Job description

Hi!

Coffee Circle is Germany's leading specialty coffee roastery with its headquarters in Berlin. We buy the best coffees from around the world, process them with utmost care and sell them online as well as in our cafes - accompanied by high-quality coffee accessories.

Our claim goes beyond quality: We cultivate direct trade relationships with coffee farmers worldwide, pay fair prices far above the global market price, and treat all parties involved in the supply chain with respect. For every kilogram of coffee sold, we invest 1 EUR through the Coffee Circle Foundation e.V. in coffee-growing regions – in clean drinking water, hygiene training, and sustainable coffee processing facilities. Since our founding, we have returned over 5 million Euros to these communities.

We look forward to growing together with you as a team to further increase our positive impact. One cup of coffee at a time.

Your Tasks

  • You will be responsible for the entire lifecycle of our employee documentation – from contract changes to benefits and up-to-date data in our physical and digital files, as well as in our HR tools Leapsome and e2n.
  • You will prepare all relevant payroll information for our accounting department and ensure that absences are documented properly – including sick leave notifications, eAU certifications, and monthly system maintenance.
  • You will keep our physical workplace running: You will order office supplies, coordinate service providers, and take care of basic workplace safety topics to ensure our office remains a safe, well-organized, and pleasant place.
  • You will also support with simple IT helpdesk issues, keep track of laptop inventory, and manage tool access for employees when they start, change roles, or leave the company.
  • You will be the third team member in our People Team and support us along with 120 colleagues.

Your Profile

  • You have already gained at least 1-2 years of experience in HR administration, office management, or a comparable operational role.
  • You notice when a comma is misplaced, a number doesn't add up, or a process could run smoother.
  • You can structure your tasks well, set priorities, and ensure that no deadline slips away.
  • You handle people and sensitive information with care, respect, and discretion.
  • You bring technical affinity and have no hesitation when it comes to restarting a laptop or figuring out why someone can't log in to a tool right now.
  • You feel comfortable working daily in English and communicating on the job, while also having German language skills at a native speaker level for local HR and office topics.
  • You work 5 days a week, with 5-6 hours per day, of which 3 days are spent on-site in our Berlin office. The role is intentionally designed as a part-time position spread over 5 days.

And that's what you'll get from us

  • Hybrid work for our office team members: We have a good balance between mobile work and on-site days, Berlin being our and your basecamp
  • Flexible working hours, core working hours are from 9:30 am to 3:30 pm
  • Germany ticket (Berlin public transportation) will be fully paid after your probationary period
  • Opportunity to participate in our company's pension plan after the probationary period
  • Discounts on our coffee and equipment, as well as online voucher platforms like Corporate Benefits and FutureBens
  • Access to platforms for mental and physical health, such as nilo. After one year of employment, employees will also gain access to the benefit platform pxtra, which includes the use of Urban Sports Club Business M.
  • The best coffee is always available on-site, and there are quarterly coffee vouchers to enjoy your favorite drink at home with loved ones
  • A friendly and pleasant working environment, as well as regular interdisciplinary team events.

We are a social business. Growth means for us increasing our social impact in the coffee cooperatives around the world and opening up a new world of coffee to our customers. We believe firmly in authenticity and empathy to build strong and innovative teams. We cultivate a humble and playful mindset to enable an endless learning experience for our team.

Regardless of ethnic origin, skin color, ancestry, religion, gender, national origin, sexual orientation, age, citizenship, marital status, disability or gender identity – if the job description fits you, we can hardly wait to get to know you.
