Job description

In brief

As an HR People Associate at Picnic, you will take charge of day-to-day HR administration for our teams in Paris. Working directly with our France People Partner, you will ensure that every administrative step is completed on time: from preparing for a new colleague's arrival and monitoring their contract to handling daily HR requests.

You will be responsible for tracking your own tasks, from collecting documents to the final follow-ups, ensuring that nothing falls through the cracks. Once these responsibilities are well mastered, you will be able to expand your scope to include certain administrative activities for our People teams in the Netherlands and Germany.

Your missions

  • Manage onboarding administration: collect necessary documents, coordinate administrative steps, and ensure everything is ready for each new hire's first day.
  • Ensure HR document management: prepare contracts, amendments, certificates, and letters from our templates, coordinate their validation and signature, and ensure they are properly filed.
  • Guarantee the reliability of HR files: keep data and tools up to date, track deadlines, and follow up with the relevant contacts until each issue is resolved.
  • Organize occupational health monitoring: schedule appointments, manage invitations, and ensure administrative deadlines are met.
  • Oversee administrative monitoring of company cars (lease cars): coordinate exchanges with service providers, prepare necessary documents, and track deliveries and returns.
  • Be the first point of contact for common HR requests: provide answers to administrative questions, follow up on requests, and involve the People Partner when the situation requires it.
  • Improve our processes daily: identify tasks that could be simplified, clarify checklists, and improve our tracking tools to increase reliability and efficiency.
  • Gradually expand your scope internationally: once French processes are well mastered, take on two or three recurring administrative activities for our People teams in the Netherlands and Germany, with appropriate support.

About you

  • You are currently studying, ideally pursuing a Master's degree in HR, Administration, Management, or a related field.
  • You are fluent in French and English, both spoken and written. You will use English to communicate with our international teams and work on shared documents and tools.
  • You can work two days a week, for a total of 14 or 15 hours, for one year, with a schedule compatible with your studies.
  • You are organized, detail-oriented, and follow through on tasks. You know when to ask for help and when to flag a blockage.
  • You enjoy helping others and handle personal information with discretion.
  • You are comfortable with digital tools, especially Google Sheets or Excel, and you are eager to learn new HR tools.
  • Previous experience in HR or administration is a plus, but we are primarily looking for rigor, curiosity, and a willingness to learn.
