The GBS Arbeitsschutz GmbH is an established service company in the fields of occupational safety, fire protection, and industrial medicine.

To further develop our internal processes and systems, we are looking for a Head of Digital & Systems (m/w/d) at the earliest possible time.

Your mission

You will step into a modern system landscape that already relies on HubSpot, Microsoft 365, n8n, and KI-based applications. These technologies form the digital foundation of our company and are continuously being expanded.

We want to develop an integrated operating system that connects processes, provides automated information, and relieves teams in their daily work. The goal is a seamless, transparent, and scalable working method along all customer and internal processes.

You will ensure that data flows function, automations run reliably, and new requirements are efficiently integrated into the existing system landscape.

You will work at the interface of processes, automation, and KI. You will develop solutions not only conceptually but also operationally implement them and accompany them until they go into productive use.

Aufgaben

Systemaufbau & Integration

• Aufbau und Weiterentwicklung der Systemlandschaft (HubSpot, Microsoft 365, n8n, Fachsysteme)
• Sicherstellung stabiler Daten- und Prozessflüsse zwischen allen Systemen
• Weiterentwicklung von HubSpot als zentrale Plattform (Workflows, Reporting, APIs, Datenmodelle)
• Sicherstellung von Datenqualität und Prozessstandardisierung

Prozessautomatisierung

• Identifikation und Automatisierung manueller, wiederkehrender Tätigkeiten
• Aufbau von End-to-End-Workflows zur Reduktion von Medienbrüchen
• Entwicklung und Pflege von Automatisierungen in n8n oder vergleichbaren Tools

KI-Integration in operative Prozesse

• Einführung eines DSGVO-konformen KI-Assistenzsystems (EU-Hosting erforderlich)
• Einsatz von KI in Dokumentation, Reporting und operativen Prozessen (z. B. Begehungen, ASA, GBU)
• Aufbau einer internen Wissensbasis sowie strukturierter Prompt- und Nutzungsvorlagen
• Bewertung und Integration neuer KI-Technologien

Wissenssystem & Enablement

• Aufbau und Weiterentwicklung einer strukturierten Playbook- und Wissensplattform in Microsoft 365 / SharePoint
• Entwicklung standardisierter Prozesse und Vorlagen für wiederkehrende Abläufe
• Unterstützung bei der Einführung KI-gestützter Arbeitsweisen im Unternehmen

Architektur & Technologieverantwortung

• Verantwortung für die technische Gesamtarchitektur (Build, Run, Improve)
• Mitwirkung an strategischen Technologieentscheidungen (z. B. KI-Plattform, ERP-System)
• Steuerung externer Entwicklungspartner

Qualifikation

• Abgeschlossenes Studium oder Ausbildung in Informatik, Wirtschaftsinformatik, IT oder vergleichbar – Quereinstieg mit relevanter Praxiserfahrung möglich
• Idealerweise Erfahrung im Aufbau oder Betrieb von System- und Prozesslandschaften im B2B-Umfeld
• Sehr gute praktische Erfahrung mit HubSpot (Admin-Level: Workflows, Properties, Reporting, APIs)
• Erfahrung mit Microsoft 365 / Power Platform (Power Automate, SharePoint)
• Erfahrung mit Automatisierungsplattformen wie n8n, Make oder Zapier
• Verständnis von API-basierten Integrationen und Datenarchitekturen
• Praktische Erfahrung im Einsatz von KI in Geschäftsprozessen
• Sicherer Umgang mit DSGVO-Anforderungen in Cloud- und KI-Systemen
• Strukturierte, lösungsorientierte Hands-on-Arbeitsweise
• Fähigkeit, technische Zusammenhänge verständlich zu erklären
• Außerdem sind Kenntnisse in Python / Skriptsprachen für Automatisierung; Microsoft Graph API / SharePoint-Entwicklung sowie Erfahrung mit Feld- oder Erfassungssystemen (z. B. SMAPone, Foxtag oder vergleichbar) von Vorteil
