Aufgaben

You will take over finance and controlling responsibilities at eye level with our existing team and simultaneously represent our finance colleague in their absence.

Finance & Buchhaltung:

• Create and send recurring and one-off invoices for licenses & services
• Set up and manage new customers in Lexware
• Categorize incoming invoices and terminate payments
• Set up and maintain series invoices
• Process cancellations and partial cancellations
• Preliminary preparation of monthly statements for the accountant
• Participation in maintenance price negotiations and offer preparation

Kundenkommunikation:

• Independent processing of the email inbox - written inquiries, order confirmations, change requests
• Maintenance and clarification with customers
• Creation and sending of maintenance offers and license setup
• Accompaniment of cancellation meetings and customer retention measures

Datenpflege & Administration:

• Create and edit orders and ABO updates
• Maintain internal master data

Controlling (Core Task):

• Check internal financial data for completeness and accuracy
• Set up and maintain a monthly reporting for management
• Development and monitoring of KPIs (Revenue, Costs, Contribution Margin)
• Budget planning and forecasting in coordination with management
• Liquidity overview and cost controlling
• Coordination with the accountant – statement requirements, inquiries, annual financial statements

Vertretung Finance:

• Full representation capability for our finance colleague in their absence
• Taking over all routine tasks (invoices, Lexware, customer communication) in the representative capacity

Qualifikation

Must-Criteria:

• Completed commercial training or equivalent qualification
• Experience with accounting and bookkeeping software – ideally Lexware
• Demonstrated experience in controlling (reporting, KPIs, budget planning)
• Safe handling of MS Office
• Structured, self-responsible working style
• Reliability in recurring routine tasks

Wünschenswert:

• Advanced Excel skills (Pivot, formulas, dashboards)
• Experience with CRM systems (HubSpot) or financial data processing tools (Airtable)
• Background in software-as-a-service or IT-related service environment
• Communication strength in customer contact (email and phone)
• Interest in process improvements and digital tools
