Role Overview:
Own the end-to-end process for export documentation and logistics coordination to ensure compliant, timely shipments. This role manages E-cert and Health Certificate applications, books and tracks collections with forwarders and couriers, coordinates inspections for raw materials (RM) requiring Ecert with MPI personnel, and serves as the operational liaison with MPI. The Coordinator safeguards all records for audit purposes and drives continuous improvement in compliance and delivery performance.

Key Responsibilities:
  • Prepare, submit, and manage E-cert applications for export consignments in alignment with destination market requirements.
  • Coordinate Health Certificate (HC) applications and approvals, ensuring accuracy of product details, batch/lot numbers, and consignment data.
  • Validate that all documentation meets MPI and importing country requirements prior to shipment.
  • Arrange bookings and collections with freight forwarders and couriers; confirm service levels, ETAs, and special handling instructions.
  • Coordinate MPI inspections for incoming RM requiring Ecert, and generate / process related documentation at MPI; communicate to WH and QA results of inspection
  • Safeguard all records (applications, approvals, certificates, logs, emails, booking confirmations, inspection reports) in a structured, searchable repository.
  • Prepare audit packs; lead document retrieval during internal/external audits and MPI inspections.

Qualifications & Experience:
  • 3+ years in export logistics, regulatory compliance, supply chain, or QA (FMCG/food/pet food sector preferred).
  • Working knowledge of MPI, E-cert, and Health Certificate processes (NZ export context).
  • Experience coordinating with forwarders/couriers and managing bookings/collections.
  • Familiarity with quality systems, batch traceability, and audit/document control.

Skills & Competencies:
  • Attention to detail with strong document accuracy and data integrity.
  • Stakeholder communication with regulatory bodies and internal teams.
  • Planning & prioritization across multiple shipments and deadlines.
  • Problem solving under time pressure; escalation and resolution.
  • Proficient in MS Office/365, ERP/WMS, and digital document management.
