Executive Operations Manager to CEO (m/w/d)

We are looking for an experienced executive operations manager who can deliver results without asking questions. If you can turn three WhatsApp messages into a finished product, without questioning, then you're in the right place.

15 to 25 parallel themes. Direct work with the CEO. Discretion like in a family office.

No calendar management, but freeing up the founder's head. Your goal: giving back 8 hours per week to the CEO.

You ensure that no deduction slips through, no theme remains lying around and no information leaks out. You work directly with the CEO and nobody in between.

• BREAKDOWN PROCESSING – The CEO gives half-sentences, WhatsApp fragments, three keywords in passing. You research independently, decide within defined limits and deliver a finished result in hours, not days.
• INBOX RESPONSIBILITY – The CEO's inbox is reviewed daily, emails are processed, routed or deliberately parked 95% within 24 hours. 0 missed deadlines, 0 missed dates over 12 months.
• COST HUNTING – SaaS subscriptions, credit card deductions, supplier invoices. You hunt down costs, check plausibility, negotiate prices and document quarterly savings.
• CONTRACT REVIEW – Standard contracts, NDAs, orders up to €1,500: You decide within your own framework. Above that: decision template with recommendation, not question.
• STAKEHOLDER STEERING – Lawyers, tax consultants, authorities, external partners. You take proactive contact, hold threads together and close loops without the CEO asking.
• RED LINES RECOGNITION – You distinguish between operational decisions and CEO matters.
