Objective:: Coordinate and manage the implementation of book fairs, book presentations or special events, both physical and virtual, achieving synergies and providing timely follow-up on operational issues for each event to project main authors. Main responsibilities: Coordinate and perform the operation from start to finish, ensuring that all logistical aspects are taken care of, including venue selection, catering, audiovisual equipment, etc. Ensure that all necessary materials are prepared and distributed in a timely manner. Manage and coordinate with external vendors, such as caterers, decorators, and technical services providers. Coordinate and manage the setup and teardown of events, ensuring that everything is properly installed and removed. Provide support to authors and speakers during events, ensuring their needs are met and they have a positive experience. Monitor and control event budgets, ensuring that expenses are within budget and that financial reports are accurate and timely. Develop and maintain relationships with authors, agents, and other stakeholders to ensure successful events. Coordinate and manage the logistics of author appearances, including travel arrangements, accommodations, and schedules. Provide administrative support to the events team, including scheduling appointments, making travel arrangements, and performing other tasks as needed.
