E-Commerce Operations Manager

About Us We are an established, growing U.S.-based e-commerce business in the medical uniform industry with over 20 years of proven market success. We are looking for an experienced, hyper-organized E-Commerce Operations Manager to take ownership of daily operations, build scalable systems, and partner directly with the founder as we scale.

What You’ll Own You will work directly with the owner to build an operation that runs seamlessly. Your responsibilities fall into four core operational pillars:

1. Operations & Fulfillment

• Oversee day-to-day e-commerce operations, wholesale orders, and fulfillment pipelines.
• Handle customer service escalations and resolve vendor/supplier issues proactively.
• Identify operational bottlenecks before they turn into emergencies.

2. Tech & Project Management

• Manage WordPress/WooCommerce site updates, improvements, and maintenance.
• Coordinate external developers, technical contractors, and agencies to hit deadlines.
• Implement AI tools, automations, and modern software to streamline workflows.

3. Systems & SOP Engineering

• Extract processes from the owner's head and document them into repeatable SOPs.
• Establish project tracking, deadlines, and operational accountability.
• Build systems that remove the owner from daily micro-management.

4. Team & Resource Leadership

• Supervise current contractors and evaluate vendor performance.
• Help recruit, onboard, and manage future team members as the company grows.

Qualifications

• Experience: 3+ years in e-commerce operations, project management, or operational management.
• Tech Stack: Hands-on experience with WordPress/WooCommerce (or similar platforms), CRMs, spreadsheets (Excel/Google Sheets), and task management systems (Asana, ClickUp, Trello, etc.).
• AI & Automation: Familiarity with using AI tools (e.g., ChatGPT) to improve personal or team productivity.
• Languages: Business-fluent written and spoken English.
• Location: Based in Romania (independent contractor arrangement). (Note: Prior experience selling medical uniforms is not required.)

Work Setup & Schedule

• Hours: Full-time, 40 hours/week (Monday – Friday).
• Schedule: Daytime hours in Romania with a required ~3–4 hour daily overlap with U.S. business hours (EST). No night shifts.
• Cadence: Daily 15-minute sync with the owner, weekly KPI review, and transparent task tracking via our project management tool.

Compensation

• Pay Range: 7,500 –RON net per month (B2B / Independent Contractor), negotiable based on experience.

Your First 90 Days

• Days 1–30: Audit current operations, learn the product ecosystem, and map existing workflows.
• Days 31–60: Take over daily operations, begin documenting core SOPs, and assume vendor/developer management.
• Days 61–90: Introduce efficiency automations, set up key operational metrics, and propose future hiring or tech needs.
