Document Controller

In this context of rapid expansion, we are looking for Document Controllers to support the proper management of project document flows, ensuring traceability, compliance, and control of technical documentation throughout the entire lifecycle of our projects.
The role operates as a point of reference for Project Managers, Discipline Engineering, Procurement, Construction Teams, suppliers, and clients, actively contributing to the optimization of Document Control processes.
Main Responsibilities:
Project Document Management:
- Manage and maintain the Master Document List (MDL), ensuring the accuracy and continuous updating of information.
- Ensure the correct coding, classification, revision, distribution, and archiving of project documentation.
- Ensure full traceability of all technical, commercial, and contractual documents.
- Verify the compliance of documentation with company standards, contractual requirements, and project procedures.
- Manage the entire revision and approval cycle of documents among internal teams, clients, and suppliers.
EPC Document Flow Coordination:
- Monitor document emissions to clients, suppliers, subcontractors, and project partners.
- Ensure adherence to document deadlines defined by the project schedule.
- Manage transmittals, document registers, comment sheets, and document turnaround activities.
- Support the project team in identifying critical issues and delays related to documentation.
- Provide periodic reports on the status of documentation and document KPIs.
Document Management System (DMS/EDMS):
- Administer and optimize the document management system (Aconex, Autodesk Construction Cloud, SharePoint, Teamcenter, Documentum, or equivalent).
- Support the implementation and continuous improvement of digital document management tools.
- Define and maintain folder structures, approval workflows, access permissions, and naming conventions.
- Train internal stakeholders on the correct use of document systems.
Project Team Support
- Collaborate with Engineering Managers, Project Managers, Procurement, and Construction Managers to ensure the correct progress of documentation activities.
- Coordinate document interfaces between engineering disciplines.
- Act as the primary contact person for all matters related to Document Control with clients and external stakeholders.
Requirements:
Education
- Degree or technical diploma in engineering, management, or equivalent disciplines.
Experience
- At least 5 years of experience as a Document Controller in EPC companies, industrial plant engineering, energy, oil & gas, power generation, or infrastructure.
- Experience in document management for multidisciplinary and international projects.
- Experience interfacing with clients, suppliers, and engineering companies.
Technical Skills
- Excellent knowledge of Document Control processes in an EPC environment.
- Advanced experience in the use of DMS/EDMS systems.
- Knowledge of document coding logic, revision management, and transmittal management.
- Good knowledge of ISO 9001 standards and the main quality requirements applicable to industrial projects.
- Excellent command of the Microsoft Office suite, particularly Excel.
Languages
- Fluent Italian.
- Professional written and spoken English.
Remuneration:
Annual Salary between €30,000 and a maximum of €40,000, based on seniority.
