ADMINISTRATIVE DIRECTOR
Job description
Mark Twain International School is looking for an Administrative Director to coordinate and ensure the smooth running of administrative and operational activities within the three school campuses.
The role involves coordinating teams and support services, managing relationships with suppliers and authorities, monitoring budgets and administrative expenses, as well as developing efficient processes to support the school's smooth operation.
We are looking for an organized, professionally mature, proactive, and solution-oriented individual, with experience in coordinating operations and teams, and with the ability to manage multiple projects and priorities simultaneously.
RESPONSIBILITIES
Operations and Administrative Services
- Coordination and monitoring of administrative and operational activities across the three campuses;
- Coordination of support services, including facility management, maintenance, cleaning, security, transport, logistics, and catering;
- Coordination and monitoring of administrative teams and external suppliers;
- Development and implementation of processes and procedures to increase operational efficiency;
- Identification and resolution of unforeseen situations and operational problems;
- Monitoring the quality of services and compliance with the school's internal standards.
Buildings, Facilities, and Safety
- Supervision of the maintenance and proper functioning of buildings, spaces, and equipment;
- Coordination of maintenance, repair, and renovation works;
- Monitoring compliance with health, safety, and security standards and regulations;
- Coordination of logistics for events and activities held within the campuses.
Purchasing, Budget, and Suppliers
- Participation in the development and monitoring of budgets for administrative and operational activities;
- Monitoring expenses and identifying cost optimization opportunities;
- Coordination of the purchasing process for materials, consumables, equipment, furniture, and services;
- Management of relationships with suppliers and service providers and negotiation of commercial terms;
- Monitoring contracts, orders, deliveries, and the quality of services provided.
Human Resources and Team Coordination
- Coordination and supervision of administrative staff and support services;
- Participation in the recruitment and integration of administrative staff;
- Setting objectives, responsibilities, and priorities for teams;
- Monitoring performance and staffing needs;
- Ensuring effective communication between administrative teams and other school departments.
Relationship with Authorities and School Management
- Representation of the school in relations with relevant authorities and institutions for the administrative and operational area;
- Management and coordination of documentation and administrative requests;
- Close collaboration with school management and provision of relevant reports and information regarding administrative activity;
- Identification and implementation of solutions for continuous improvement of operations.
THE IDEAL CANDIDATE
- Completed university studies, preferably in Economics, Business Administration, Engineering, Management, or related fields;
- Minimum 5–7 years of professional experience in an administrative, operational, or management role;
- Minimum 3 years of experience in a coordination or management position;
- Experience in coordinating teams and managing suppliers and service providers;
- Experience in budgeting, purchasing, and cost control;
- Very good organizational, planning, and prioritization skills;
- Analytical and effective problem-solving skills;
- Good communication, negotiation, and interpersonal skills;
- Good knowledge of Microsoft Office, especially Excel;
- At least intermediate level of English language;
- Category B driver's license.
Experience in an educational environment, in a multi-site organization, or in fields such as facility management, real estate, hospitality, or services is an advantage.
