Job description
Reporting to the Design & Estimating Manager, the Design and Purchasing Administrator will support the design and purchasing teams by fulfilling administrative tasks related, but not limited to, purchasing activities, work in progress (WIP) orders, engineering drawing releases, and maintenance of clear and updated records in EPICS (Almag’s Manufacturing Execution System). Under minimal supervision, this candidate will perform specialized administrative duties that will require an understanding of procurement processes, data entry, and database management. The Design and Purchasing Administrator is expected to maintain close relationships with internal and external partners to maintain supply chain efficiency. Key Responsibilities: * Assist with the purchase of materials, components, and services. * Issue and track purchase orders. * Maintain accurate records of all purchases. * Manage and maintain the bill of materials (BOMs) in EPICS. * Liaise with vendors to obtain quotes and negotiate prices. * Assist in resolving any discrepancies in purchase orders or invoices. * Prepare reports on purchasing activities. * Maintain and update the vendor database. * Track and follow up on the status of purchase orders to ensure timely delivery of goods and services. * Coordinate with the design and estimating teams to ensure that all purchasing needs are met. * Assist in maintaining accurate inventory levels of materials and components. * Support the design team with administrative tasks, such as creating and maintaining design documentation. * Maintain and update engineering drawings in EPICS. * Perform other duties as assigned. Qualifications: * High school diploma or equivalent. * 1-3 years of experience in a purchasing or administrative role. * Strong organizational and time-management skills. * Excellent communication and interpersonal skills. * Proficiency in Microsoft Office Suite (Word, Excel, Outlook). * Experience with ERP systems, EPICS preferred. * Ability to work independently and as part of a team. * Ability to prioritize tasks and meet deadlines. * Knowledge of purchasing processes. * Ability to read and interpret engineering drawings is a plus.
