Job description
Are you an organized, creative person with great management skills and a passion for event production? We are looking for an Event Production Coordinator to join our team to lead and execute all stages of high-impact cultural events in different cities across the country.
REQUIREMENTS:
- Degree: Bachelor's degree.
- Proven experience in producing cultural events or similar.
- High organizational capacity, task tracking, and management of multiple activities simultaneously.
- Excellent oral and written communication skills.
- Able to work under pressure and resolve problems in real-time.
- Familiarity with management platforms like Monday or similar.
- Desirable: basic knowledge of budgeting, scouting, and travel logistics.
- Availability to travel and work some weekends or outside regular hours.
MAIN FUNCTIONS:
Pre-production:
- Curation of themes, speakers, and spaces in collaboration with Direction.
- Management of strategic alliances with institutions, brands, sponsors, and convocations.
- Budget preparation for each event and annually.
- FOLLOW-UP AND COMMUNICATION WITH ALLIED BRANDS.
- Scouting management: flights, accommodations, appointments, and visits to spaces.
- Coordination with Creative Direction for the design of each event.
- DIRECT RELATIONSHIP WITH SPEAKERS: interviews, material requests, logistics, and follow-up.
- Hiring and management of vendors (technical, furniture, catering, photo/video).
- Communication coordination with brands: materials, logos, guest lists, and brand presence.
- Budget preparation, lists, minutes, checklists, and tasks on platforms like Monday.
- Request for special permits, invitation letters, and sponsorship formats.
Production (on-site):
- Integral coordination of the event on the day of its execution.
- Supervision of setup, technical tests, and teardown.
- Attention to speakers, allies, and vendors.
- Review of bathrooms, dressing rooms, catering, and brand visibility.
- Punctual minute-by-minute follow-up and solution of unexpected issues.
Post-production:
- Management of photographic and audiovisual materials.
- Sending materials and databases to speakers and brands.
- Budget preparation, evaluation reports, learning, and numerical data.
- Invoicing, final budget delivery, and documentation archiving.
- Directory and inventory updating.
- Coordination of evaluation meetings with allies.
Monday to Thursday 9am to 6pm and Friday 9am to 2pm
