Payroll Coordinator

Job description

Seeking a Payroll Coordinator to join our team. Your primary objective will be to ensure the correct execution of the payroll process in Mexico as the process leader, managing a monthly volume of approximately 4,000 incidents, through coordination and control with an external payroll provider, guaranteeing compliance with regulations, fiscal requirements, and company-defined calendars. Lead the delivery of financial information and the accounting and fiscal closing of payroll in coordination with the Accounting department.


Main Responsibilities

  • Consolidate and validate bi-weekly incidents (hires, terminations, salary changes, time-off incidents, disabilities, vacations, bonuses, commissions, deductions, etc.) and send them to the payroll provider for calculation.
  • Receive and validate payroll calculations generated by the external provider, ensuring the correct application of internal controls and compliance with SOX audit requirements. Manage payroll calendars, SLAs, and deliverables, ensuring they are met on time and in full, and that the accounting and tax closing is performed without issues or errors.
  • Review, validate, and ensure the consistency of all reports sent to the Accounting department for accounting closing and tax payments, minimizing risks and inconsistencies in the information.
  • Respond to and follow up on responses from state and/or governmental entities regarding requests or clarifications.
  • Participate in internal and external audits related to payroll, sending, verifying, and presenting documents to the requesting entity.
  • Ensure compliance with labor, fiscal, and social security legislation in Mexico (LFT, IMSS, INFONAVIT, ISR, ISN, etc.).
  • Propose and execute continuous improvements in payroll processes, controls, and automation.
  • Ensure that payroll taxes are paid correctly by validating CFDIs, payments, and voucher reports.
  • Lead, train, and monitor the performance of the payroll team, ensuring the correct execution of activities, operational coverage, and compliance with critical deadlines.


Required Experience

  • Degree in Accounting, Administration, or related field.
  • + 6 years of experience in payroll processes in medium or large companies.
  • Experience in high-growth retail companies or shared services.
  • Knowledge of the Mexican payroll preparation process.
  • Proficiency in Mexican labor and fiscal legislation.
  • Proficiency in IMSS, INFONAVIT, ISR, ISN, SUA, IDSE, FONACOT, INFONAVIT.
  • Experience managing payroll providers.
  • Advanced Excel skills.
  • Experience with payroll systems.
  • Organizational skills and priority management.
  • Effective communication and follow-up with third parties.
  • Ability to work under pressure and with strict deadlines.
