The Hospitality Collaborator ensures that each visit is a positive experience, where hospitality and professionalism are the key words. In addition to welcoming, you play a supporting role in creating a pleasant working environment. You act as the essential link between the outside world and internal colleagues.
Description of tasks
Welcoming visitors & Hospitality : Ensure warm and professional visitor registration process while maintaining order in the welcome area.
Communication & Telephony : Handle incoming calls and transmit messages with precision to concerned colleagues.
Treatment of mail and packages : Manage normal, recommended, and sample mail distribution.
Installation management : Ensure administrative management of coffee machines and water fountains, and exceptionally organize the café for meetings.
Access & Mobility Management : Create and manage access badges and support fleet management (key management, barriers).
Scheduling : Manage room occupancy schedules at headquarters.
Safety & Incident Management : Support evacuation procedures and coordinate security services in case of an emergency.
Ticket management : Manage the general mailbox and transform requests into technical tickets via the 'Fresh Service' tool.
Supplier management : Act as a point of contact for cleaning, maintenance, and supply providers.
Administrative follow-up & Stocks : Responsible for office material orders and tracking POs and invoices.
Your profile
You are a native Dutch speaker with very good French knowledge or perfectly bilingual.
Clients' orientation is your priority; you welcome each visitor with a smile and anticipate their needs.
You communicate clearly and respectfully, even during peak hours.
You demonstrate flexibility and openness to new work methods and technologies.
You set professional boundaries and remain calm in unexpected situations.
You manage administrative files and schedules with rigor and precision.
You quickly learn to use new digital tools (telephony systems, badges, etc.).
You have a team spirit and share relevant information with your colleagues.
