Job description
About Lifen
At Lifen, we believe that medical data can transform the healthcare system, provided it is accessible. Moving it around better means reducing administrative burden, improving care coordination, and accelerating clinical research.
Since 2015, we have been developing solutions that help healthcare professionals share medical information and researchers leverage health data. Over 150 people work at Lifen, from our offices and remotely. We have connected 800 hospitals and 150,000 healthcare professionals in France.
Our Team
The Clinical Ops team is at the heart of our health data-driven research projects. It transforms medical documents into structured data, necessary for building patient cohorts and preparing exports used in our research projects.
Today, the team structures approximately 100 to 200 patient cases per week. Our ambition: to triple this capacity in the next 9 months, while maintaining a high level of data quality.
To achieve this, we are looking for someone capable of taking over the management of the team, but above all, of piloting the production flow, anticipating workload, and driving a continuous improvement approach with the Product, AI, and Engineering teams.
This is a role at the intersection of operational management, RWD, and process improvement.
What you will do with us
Your first mission will be to take over the management of cohort production in order to simultaneously improve its quality, processing capacity, and automation level.
Specifically, you will be involved in:
Managing and growing the Clinical Ops team, by providing a clear framework for priorities and organizing daily activities.
Anticipating workload and managing production capacity to limit bottlenecks and better absorb volume variations.
Building the necessary management tools to have a fine-grained view of the flow: patient volumes, processing capacity, error rates, blocking points, and team workload.
Building and orchestrating a continuous improvement roadmap to progressively increase processing capacity.
Championing this roadmap with the Product, AI, and Engineering teams: making operational needs visible, tracking R&D deliverables, and creating the necessary rhythm for improvements to be effectively delivered.
Ensuring the quality of cohorts and contributing to the preparation of data exports required for research projects.
What we will expect from you
In the first few months, we will expect you to develop a very fine understanding of the Clinical Ops flow: where the blockages are, how the workload is evolving, and what levers can truly improve production.
Your success will be measured, in particular, by your ability to implement reliable activity management, reduce errors and bottlenecks, and create, with the Product and R&D teams, a sufficiently sustained pace of continuous improvement to support our scaling change.
Within 9 months, the objective is clear: to go from approximately 100–200 to 300–600 structured patient cases per week, without tripling the resources.
What we are looking for
Must-have
We will primarily look for three elements in your background:
Successful experience in a startup or scale-up, in an environment where processes, tools, and responsibilities were yet to be built.
Concrete experience with Real-World Data / Real-World Evidence, ideally around building or exploiting patient cohorts.
A health or scientific background allowing you to understand the challenges related to medical data and clinical research.
We also expect:
Proven experience in managing an operational team.
Experience in structuring and managing a complex activity based on data and KPIs.
Ability to move from a very concrete operational problem to a structured improvement plan.
Experience in close collaboration with Product, Data/AI, or Engineering teams.
Ability to drive a cross-functional roadmap and create accountability around deliverables.
Nice-to-have
A background in data management, biostatistics, epidemiology, or a related scientific field.
Experience in structuring registries, health databases, or RWD cohorts.
Familiarity with clinical research challenges and interactions with health authorities.
A good understanding of AI and engineering applications to health data.
Your way of working
You have a real “just do it mentality”: faced with an imperfectly defined problem, you start by understanding the facts, you structure the problem, and you quickly implement initial solutions.
You are particularly comfortable in environments where you have to create tools rather than just use them. If the dashboard you need to manage your team doesn’t exist, you are capable of defining and implementing it.
You are structured and organized, but not bureaucratic. You know how to delve into the details of the flow to understand real problems, while keeping an overall vision and prioritizing what will have the most impact.
Finally, you know how to drive teams over which you do not necessarily have hierarchical authority. You make problems visible, articulate priorities, and create the necessary rhythm to transform decisions into concrete improvements.
Our Values
Embrace Complexity — You enjoy understanding a complex data flow, identifying its breaking points, and transforming this complexity into concrete decisions.
Kindness — You support a team daily with rigor, listening, and clarity.
Real Impact — You improve the quality and availability of data that advance clinical research projects.
Recruitment Process
Pre-qualification call with Laura, Talent Acquisition Manager, 30 minutes. We get to know each other, review your background, expectations, and the broad outlines of the position. This is also the time to answer your initial questions about Lifen, the team, and the context.
Interview with the VP of Research, 60 minutes. We will delve deeper into your background, your experience in RWD and cohort building, as well as your management and operational activity steering experience. The objective is also to understand how you structure and evolve an organization in a growing environment.
Use Case with members of the Clinical Ops and Product teams, 60 minutes. Based on concrete situations, we will discuss how you structure an RWD cohort, analyze operational issues, and build improvement plans. This will also be an opportunity to discuss how you manage human issues and collaboration with cross-functional teams.
Cultural alignment with two Lifen team members, 45 minutes via video call. This time will allow us to discuss your working style, your level of autonomy, daily collaboration, and alignment with our values.
