Client Operations Specialist (all genders)

Do you prefer to get things done before they even become a problem? Do you maintain an overview of complex processes while others have long lost the thread, and do you enjoy drawing the right conclusions from data? As a Client Operations Specialist, you ensure the smooth running of our (supported) further education programs and, together with the team, keep one of our most important KPIs – the graduation rate – at a high level.

You accompany participants on their learning journey and ensure that our clients achieve their training goals and have the best possible learning experience with us. You work closely with Sales, Coaching, Learning, and Engineering, use dashboards for data-driven decisions, and independently take responsibility for projects that make our processes a little better every day.

Focus areas of your role

• Participant Support & Assistance: You provide organizational support to participants throughout the entire further education cycle – from onboarding to completion. You reliably answer support requests and identify risks of dropout early on.

• Processes & Automation: You ensure smooth operations, continuously optimize them, and identify automation potential for increasing the efficiency of internal processes and further developing our workflows.

• Coordination & Interface: You serve as a communication interface to participants and relevant stakeholders (e.g., Sales, Coaching, Learning, Engineering).

• Data Work & Dashboards: You work data-oriented and use dashboards daily to manage your tasks and make decisions.

• Project Responsibility & Agility: You independently take on projects, define Key Results, and work flexibly in changing processes.

What you bring to the table

• Completed degree (e.g., Business Administration, Business Informatics, or comparable) or equivalent qualification, as well as a good understanding of data and the sensible use of AI for automating and optimizing processes

• Technical affinity and quick onboarding to administrative tools; ideally, initial experience with Asana, HubSpot/CRM, Slack, and LMS (Learning Management System)

• You have a genuine interest in data and AI topics and naturally use AI tools (e.g., Claude, ChatGPT, Copilot) in your daily work to optimize processes and communication.

• Strong communication skills and empathy in dealing with participants, clients, and colleagues (email, phone, webinar/meeting)

• Independent, self-responsible way of working, high self-motivation, team spirit, and enjoyment of agile methods

• Advantage: Experience in customer service, Customer Success, or participant support, ideally in the education or SaaS environment.

• Very good German skills (min. C1) and good English skills
