ILLUIN Technology is the French leader in sovereign and trusted Generative AI. We develop proprietary language models (LLMs) and a cutting-edge technological platform to enable companies and organizations to deploy generative AI securely, while maintaining control of their data.
Backed by the private equity fund Seven2, Illuin has entered a phase of investment and strong growth since the beginning of the year. In this context of acceleration, the Group is recruiting an HR Administration Officer to secure and professionalize all administrative processes related to the payroll cycle and the internal experience of Illuin employees.
Your Mission
Reporting directly to the Administrative and Financial Department, in close collaboration with the operational teams, you will be responsible for payroll internal control and the reliability of social data. Payroll is outsourced to a service provider: your role is not to produce it but to ensure its preparation, control, and end-to-end coordination.
You will work in a dynamic and agile environment, in a structuring context where you will need to demonstrate rigor, versatility, and proactivity to contribute to the advancement of a wide range of missions such as:
Management and control of outsourced payroll
Collection, consolidation, and transmission of variable payroll elements to the service provider (new hires/departures, absences, variable pay, bonuses, expense reports impacting payroll) according to a controlled payroll schedule;
Control of time entry by employees (leave tracking, etc.);
Collection of social declarations produced by the service provider (DSN, social contributions, provident and health insurance organizations) and monitoring of any anomalies until resolution;
Reconciliation of payroll with accounting in conjunction with the CFO and the accounting firm (payroll entries, paid leave provisions, third-party social accounts).
Personnel administration and employee lifecycle
Administrative management of new hires: DPAE (Declaration Prior to Hiring), drafting of contracts and amendments, health insurance and provident fund affiliations, medical examinations, creation of employee files;
Tracking of changes during employment (amendments, transfers, changes in working hours) and departures (end-of-contract documents, coordination with payroll and management);
Tracking of absences, leaves, sick leaves, social security reimbursements (IJSS) and provident fund cases;
Management of collective schemes and benefits (meal vouchers, health insurance, sustainable mobility, transport reimbursements);
Maintenance and reliability of administrative obligations: single personnel register, postings, archiving, and GDPR compliance of social data.
Coordination of service providers and external stakeholders
Reference contact person for the payroll firm: managing the collaboration rhythm, defining deliverables, respecting deadlines, and arbitrating blocking points;
Point of contact with external organizations (URSSAF, pension and provident funds, occupational health services, OPCO, health insurance) in coordination with the service provider and the CFO;
RH Data & Process Owner
Development and documentation of all HR administrative processes and associated tools (HRIS), in a growth context and with the prospect of integrating new entities;
Ensuring the quality and consistency of social data between the HRIS, payroll, and Finance tools.
Social compliance and ad hoc missions
Monitoring social regulations and the application of the collective agreement, with the support of external advisors on complex subjects;
Contribution to annual obligations and deadlines (professional equality index, mandatory declarations, preparation of audits);
Participation in projects for structuring the People function: deployment or evolution of the HRIS, process automation, preparation of employee representative bodies.
Candidate Profile
This is an evolving position, both due to the Group's growth and ambition, and also due to the variety of projects encountered, thus leaving room for individual preferences.
Degree in Human Resources, payroll management, or social law (Bachelor's/Master's degree, professional title of payroll manager)
Proven experience in personnel administration and payroll management or control, either in a company or a firm
Good knowledge of payroll mechanisms and French legal and conventional framework; knowledge of the Syntec collective agreement is a plus
Basic knowledge and curiosity appreciated regarding HRIS tools, process automation, and AI applied to support functions
We are looking for an autonomous and proactive profile demonstrating great rigor and a keen sense of confidentiality. You will need to show curiosity, versatility, and adaptability to handle multiple subjects concurrently, requiring a critical eye, as well as a true sense of service towards employees.
