Candidate Experience & Operations Associate (m/w/d)

You are the human core of a KI-based matching process. MediSteg brings approved international doctors to German clinics — and you ensure that every step of this process is both humanly excellent and technically clean. You are a conversation partner for doctors in one of the most important steps of their career. And you build the automations that make MediSteg scalable.

Aufgaben

People & Prozess

• Coordination and pre- and post-processing of first conversations between doctors and clinics
• Accompaniment and logistics for hospital visits
• Communication with doctors in English and German throughout the process
• Onboarding guidance for placed doctors in the first 6 months at the location
• Maintenance of candidate data in HubSpot/Airtable with high discipline and care

Automatisierung & Tech

• Setup and maintenance of process automations (N8N / Make / HubSpot-Workflows)
• Integration of KI tools (Claude) in candidate and clinic communication
• Independent identification of process breaks and implementation of solutions
• Co-shaping the tech stack in an early stage (Google Workspace, Slack, Airtable)

Qualifikation

Must-have

• 2–4 years of experience in Operations, Customer Success, Recruiting or Project Management with direct personal contact
• Termintreue — reliability is not negotiable: You say what you do and do what you say
• Result- and performance-oriented — You measure yourself by output, not activity
• Empathy and professional communication on eye level with medical professionals
• Technical basic understanding and demonstrated openness to automation tools
• German fluently, English very well (C1+)
• Structured, independent work without micromanagement

Nice-to-have

• First own automation projects with N8N, Make, Zapier or similar tools
• Experience with HubSpot or a comparable CRM
• Background in the healthcare, medical or strongly regulated environment
• Further languages (Arabic, Romanian, Georgian) an asset
