Role Overview

The Business Operations Specialist supports day-to-day execution across systems, processes, and cross-functional workflows. This role focuses on operational coordination, data accuracy, project support, and process improvement to keep teams aligned and moving efficiently.

You will work closely with multiple functions to maintain clean systems, track performance, and streamline workflows. This role is ideal for highly organized professionals who enjoy bringing structure to fast-moving environments and supporting execution at scale.

Core ResponsibilitiesOperations Systems & Data Support — 30%
  • Maintain accuracy and organization across operational systems
  • Support CRM, project management, and internal tools
  • Perform data cleanup, validation, and documentation
  • Ensure consistent system usage and process adherence
Reporting & Performance Tracking — 25%
  • Track key operational and business metrics
  • Maintain dashboards and recurring reports
  • Support leadership with data insights and summaries
  • Identify trends and areas for operational improvement
Project & Workflow Coordination — 20%
  • Support cross-functional projects and initiatives
  • Track tasks, timelines, and deliverables
  • Maintain documentation and status updates
  • Ensure smooth handoffs between teams
Cross-Functional Operations Support — 15%
  • Coordinate with teams across Sales, Marketing, Ops, and Leadership
  • Support meetings, follow-ups, and action tracking
  • Troubleshoot operational questions and system issues
  • Help standardize workflows and communication
Administrative & Execution Support — 10%
  • Assist with scheduling, documentation, and coordination
  • Support leadership with operational follow-through
  • Handle sensitive information with discretion
  • Keep priorities organized and visible

Requirements

Must-Haves (Required)
  • 1–2+ years of experience in operations, coordination, or support roles
  • Strong organizational and execution skills
  • Comfort working with data, systems, and spreadsheets
  • Ability to manage multiple priorities simultaneously
  • Excellent written and verbal English communication
  • High attention to detail and follow-through
  • Proven ability to work independently in a remote setup
Nice-to-Haves (Preferred)
  • Experience supporting cross-functional or startup teams
  • Exposure to process improvement or documentation
  • Background in sales ops, rev ops, or project coordination
  • Experience supporting leadership or executives
Tools ProficiencyMust-Haves (Required)
  • Spreadsheets: Google Sheets or Microsoft Excel
  • Communication: Gmail/Outlook, Slack, Zoom, Microsoft Teams
  • Google Workspace: Docs, Sheets, Slides, Drive
  • Experience with at least one CRM or project management tool

  • CRM: HubSpot, Salesforce, Pipedrive
  • Project Management: Notion, Asana, Jira, ClickUp, Monday.com
  • Automation: Zapier, Make (Integromat)
  • Analytics & Reporting tools
