Administrative Assistant - Facilities

Experience in facilities, 'motoboy, mail, storage and sliding file control' archive, management of 'third parties in general, deposits, purchases and parking', basic English and Spanish will be a differential.
•Act as an interface in the relationship with service providers and Unilever employees;
•Customer service;
•Respond to emails or messages;
•Control of inputs and materials necessary for the operation of the Workplace Area, ensuring adequate minimum stock for the supply of services that make up this proposal/operation;
•Call service – Via app, portal, forms or system (service now);
•Service and follow-up for routine demands of the Workplace Area with support for reception and directing calls or internal demands of the Area to the responsible teams such as: Maintenance, Cleaning, Catering, etc;
•Daily rounds to identify the need for action: identify irregularities in spaces, disorder, leaks, burnt-out light bulbs, visual communication, cleaning, bathrooms, dirt, aiming to proactively open calls for teams to act;
•Service in expedition needs: receipt of mailbags, generation of protocols, collection of correspondence, dispatch of packages
•Inactive Archive: user service, user registration
•Organization and guidance for organization in basement deposits;
•Identify needs and improvements in operation, providing feedback and input to the team;
•Data compilation for reports;
•General controls and demand/consumption monitoring such as: WC disposables, Ice Creams, Coffee Doses, Keyholder, etc.
•Monitoring of periodic visits from sporadic suppliers such as (millicare, Ecolab, Conforlab, Gran Coffee, Vertical Garden, Purifikar, Melhoramentos, Soft Purificadores, etc...)
