Secretary / Patient Relationship Assistant – Plastic and Urological Surgery
We are looking for a professional to work in person in patient service, reception, and relationship management, integrating the administrative, scheduling, and commercial follow-up routines of two medical professionals in the fields of Plastic Surgery and Urological Surgery.
The position involves direct contact with patients interested in high value-added private consultations, exams, procedures, and surgeries, requiring excellent communication, organization, follow-up skills, and attention to detail.
Main responsibilities- In-person and remote patient service;
- Patient reception and welcome;
- Service by phone and via omnichannel platform, centralizing channels such as WhatsApp, Instagram, and Facebook Messenger, in addition to other channels provided by the employer;
- Scheduling of appointments, exams, procedures, and surgeries;
- Management and reconciliation of the schedules of two professionals;
- Confirmation of appointments, exams, procedures, and surgeries;
- Organization of reschedulings, last-minute appointments, and schedule changes;
- Patient and opportunity registration and update in the CRM;
- Lead follow-up through unified CRM integrated with the omnichannel platform;
- Follow-up of leads from Instagram, WhatsApp, Facebook Messenger, and other integrated digital channels;
- Making approach, qualification, and follow-up calls;
- Follow-up of patients interested in consultations and treatments;
- Accompanying patients throughout the decision and scheduling process;
- Support in converting opportunities into consultations, exams, procedures, and surgeries;
- Proper recording of interactions and progress of services within the tools provided by the employer;
- Issuance and sending of payment links and bank slips;
- Support in issuing and organizing invoices;
- Organization of administrative information related to services;
- Use of systems, CRM, omnichannel platform, communication tools, and other platforms provided by the employer.

The following will be considered differentiators:
- Previous experience in clinics, medical offices, or healthcare services;
- Experience with plastic surgery, urology, dermatology, dentistry, aesthetics, or high value-added private services;
- Experience with CRM;
- Experience with commercial service or consultative sales;
- Experience with omnichannel platforms, WhatsApp Business, Instagram, Facebook Messenger, scheduling systems, and digital tools;
- Familiarity with billing, payment links, bank slips, and invoice issuance;
- Experience with lead follow-up and follow-up.
It is not necessary to master the tools used by the clinic beforehand. Training and access to proprietary systems will be provided by the employer.
Work modelService provision exclusively under a PJ (legal entity) contract.
Predominantly in-person work, from Monday to Friday, during the following periods:
08:30 AM to 12:00 PM
01:00 PM to 05:00 PM
There may be an occasional need for remote service outside these periods, at variable hours and according to patient and schedule demand.
The employer may assist the selected professional with the administrative procedures necessary for the formalization of service provision under a PJ contract.
Compensation and performance-based variable payThe position has a significant variable/commission component, linked to the performance and results achieved in patient service and follow-up.
The model includes commission, according to previously established rules and percentages, related to:
- Consultations;
- Exams;
- Procedures;
- Surgeries.
The objective is to directly recognize the professional's performance in organizing the patient's journey, lead follow-up, and conversion of services.
The details of the compensation and commission model will be presented during the selection process.
