AI Operations & Business Support (m/f/d)

Greenstein is a design agency with a focus on brand building and branding. We work completely remotely and already rely heavily on AI: we developed our CRM ourselves, and we are continuously expanding it.

In this role, you will be responsible for the AI domain within our company. You will integrate AI into our processes, from project management to content and internal organization. Simultaneously, you will work closely with the Managing Director and implement tasks that free up their time. The focus is on AI Operations (approx. 60–70%), with the remainder being support for the Managing Director.

Your Responsibilities

AI Operations

• Identify processes that can be accelerated or automated with AI

• Build and maintain AI workflows, agents, and internal tools (e.g., with Claude, Claude Code, GitHub)

• Manage our self-developed CRM and expand it with new features

• Develop AI-powered workflows for client projects, e.g., for brand research, content, or website creation

• Test, select, and introduce new AI tools to the team

• Train the team in the effective use of AI

Support for the Managing Director

• Organize the Managing Director's calendar, emails, and appointments, ideally using AI yourself

• Prepare and follow up on meetings, write minutes, track to-dos

• Conduct research, prepare decision memos, and manage special projects

• Provide support with administrative tasks

What You Bring

• AI Practice: Experience with LLMs like Claude or ChatGPT that goes beyond simple chat: prompt design, agents, API usage, custom workflows

• Technology: Experience with GitHub and basic knowledge of Python or JavaScript. Claude Code, Cursor, or similar are a big plus

• Automation: Ideally, experience with Make, Zapier, or n8n

• Design Sensibility: Not a must, but a plus: Interest in brands and design, or experience with WordPress, Elementor, or Figma

• Hands-on Mentality: You enjoy taking on operational tasks and see them as an opportunity to get to know the agency from the inside

• Organization & Discretion: You maintain an overview, prioritize effectively, and handle sensitive information with confidentiality

• Communication: clear, precise, and proactive, both internally and externally

• Very good German language skills
